JoAnna Baum Interiors is a growing residential interior design firm seeking a highly organized, detail-oriented Procurement Specialist / Administrative Assistant to support our design team behind the scenes. This role is ideal for someone who loves organization, thrives on follow-through, and enjoys managing the many moving pieces that bring beautiful homes to life.
This is a remote position for Illinois residents only with occasional in-person team meetings or project support as needed.
Position Details
- Part-time hourly position
- Remote (Illinois residents only)
- Flexible daytime schedule
- Approximately 20-30 hours per week to start, with potential for growth
Compensation
- Hourly, based on experience
Responsibilities
Procurement & Order Management
- Place and track furniture, lighting, rug, window treatment, and accessory orders
- Communicate with vendors regarding lead times, backorders, damages, and shipping updates
- Maintain accurate procurement records and order statuses
- Coordinate receiving warehouse deliveries and installations
- Process freight, receiving, and storage invoices
- Track vendor acknowledgements and order confirmations
Administrative Support
- Maintain project management systems and client files
- Organize specifications, proposals, and purchase orders
- Assist with client presentation preparation
- Manage spreadsheets and project trackers
- Coordinate meetings and schedules as needed
- Support the design team with day-to-day administrative tasks
Vendor & Client Communication
- Follow up with vendors regarding outstanding items
- Communicate shipment updates and procurement information to the design team
- Assist in preparing client-facing updates and documentation
Qualifications
- Minimum 2 years of experience in procurement, administrative support, interior design operations, project coordination, or a related field
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple projects and deadlines simultaneously
- Self-starter who can work independently in a remote environment
- Proficiency in Google Workspace (Docs, Sheets, Drive)
- Comfortable learning new software and systems
Preferred Qualifications
- Experience in the interior design, architecture, construction, furniture, or home furnishings industry
- Familiarity with procurement processes and vendor management
- Experience with Studio Designer, DesignFiles, Houzz Pro, or similar industry software
- Understanding of furniture lead times, freight, receiving, and installation logistics
