Our clients include federal employees, with a particular focus on the Foreign Service and foreign affairs community, along with families with international assets, blended families, and clients whose situations are simply too complex for a generalist. We handle the full spectrum, and we don&rsquo;t refer out when it gets complicated. We&rsquo;re expanding, and we need an experienced Intake Specialist to join our Florida team and work directly with the firm&rsquo;s founder.The people who call us are often navigating something they&rsquo;ve never contemplated before. A Foreign Service Officer navigating a new posting, a non-U.S. citizen trying to understand what happens to their U.S. and overseas assets when they pass away, a blended family trying to protect everyone fairly &mdash; these are real situations with real stakes. We want every one of them to come out of the intake process feeling like they&rsquo;ve found exactly the right place: someone who understood the complexity, didn&rsquo;t flinch, and knew what to do next. Keep going.This position will be responsible for important work, including:<ul><li>Answering calls from prospective estate planning clients and conducting professional, empathetic intake interviews</li><li>Qualifying leads, scheduling consultations, and ensuring seamless handoffs to the attorney</li><li>Managing the firm&rsquo;s CRM and marketing platforms (Go High Level, Constellation, EOS) &mdash; keeping pipelines current, automations running, and data accurate</li><li>Handling administrative tasks in Clio, including scheduling, client communications, and billing</li><li>Coordinating the digital client experience from first contact through document execution, including e-notary signing logistics</li><li>Running the day-to-day operations of the Florida office (remote to start, transitioning to Fort Lauderdale office as we grow)</li><li>Capturing referral source data for every call to support the firm&rsquo;s marketing strategy</li><li>Following up with prospects who haven&rsquo;t scheduled and finding ways to convert hesitant callers</li><li>Identifying patterns in calls &mdash; common objections, FAQ gaps, script improvements &mdash; and suggesting process improvements</li></ul>If the statements below appeal to you, then you may be our next Intake Specialist!<ul><li>You instinctively adjust your tone when someone calls who is clearly overwhelmed &mdash; and you make them feel like they called the right place</li><li>You have an obsessive attention to detail</li><li>You&rsquo;re very good with CRMs, calendars, spreadsheets, and technology in general &mdash; you figure things out</li><li>Your middle name is &ldquo;No Drama&rdquo;</li><li>You are an awesome juggler of tasks and can change gears quickly &mdash; you do not think scanning, filing, or data entry are &ldquo;beneath you&rdquo;</li><li>You can work independently without someone looking over your shoulder &mdash; and you actually prefer it that way</li><li>You over-communicate rather than under-communicate, especially when working remotely from the team</li><li>You treat every person who calls like they&rsquo;re the most important person you&rsquo;ll talk to all day</li><li>You take feedback like a professional &mdash; no excuses, just improvement</li></ul>What we&rsquo;re looking for:We love to help people learn and grow. But we don&rsquo;t have time for hand-holding right now. We need someone with experience in a legal or professional services environment who understands client-facing work, intake processes, and CRM management. The ideal candidate will take initiative on work that needs to be done and complete tasks with minimal supervision.<ul><li>2+ years of experience in legal intake, client services, or a similar professional role</li><li>Experience with CRM platforms (Go High Level experience is a major plus)</li><li>Excellent phone presence &mdash; warm, professional, and able to adapt tone to the caller</li><li>Strong organizational skills and the ability to manage multiple priorities without dropping anything</li><li>Comfortable working independently in a remote environment</li><li>Tech-savvy &mdash; you don&rsquo;t panic when you need to learn a new system</li><li>Estate planning, probate, or international/cross-border client experience is a plus but not required &mdash; what matters is that you can stay calm and professional when a caller&rsquo;s situation is complicated</li></ul>Compensation &amp; Benefits:This is a full-time position (40 hours per week, 8:30 AM &ndash; 4:30 PM Eastern) based in Florida. This role starts remote and will transition to our Fort Lauderdale office as we grow. Pay is $24&ndash;$30/hour depending on experience.
