We are a growing, multi-jurisdictional estate planning firm with offices in Washington, DC and Fort Lauderdale. Our clients include federal employees, with a particular focus on the Foreign Service and foreign affairs community, along with families with international assets, blended families, and clients whose situations are simply too complex for a generalist. We handle the full spectrum, and we don’t refer out when it gets complicated. We’re expanding, and we need an experienced Intake Specialist to join our Florida team and work directly with the firm’s founder.

The people who call us are often navigating something they’ve never contemplated before. A Foreign Service Officer navigating a new posting, a non-U.S. citizen trying to understand what happens to their U.S. and overseas assets when they pass away, a blended family trying to protect everyone fairly — these are real situations with real stakes. We want every one of them to come out of the intake process feeling like they’ve found exactly the right place: someone who understood the complexity, didn’t flinch, and knew what to do next. We are growing fast, and we need an Intake Specialist who can hit the ground running.

This position will be responsible for important work, including:

  • Answering calls from prospective estate planning clients and conducting professional, empathetic intake interviews
  • Qualifying leads, scheduling consultations, and ensuring seamless handoffs to the attorney
  • Managing the firm’s CRM and marketing platforms (Go High Level, Constellation, EOS) — keeping pipelines current, automations running, and data accurate
  • Handling administrative tasks in Clio, including scheduling, client communications, and billing
  • Coordinating the digital client experience from first contact through document execution, including e-notary signing logistics
  • Running the day-to-day operations of the Florida office (remote to start, transitioning to Fort Lauderdale office as we grow)
  • Capturing referral source data for every call to support the firm’s marketing strategy
  • Following up with prospects who haven’t scheduled and finding ways to convert hesitant callers
  • Identifying patterns in calls — common objections, FAQ gaps, script improvements — and suggesting process improvements

What we’re looking for:

We love to help people learn and grow. But we don’t have time for hand-holding right now. We need someone with experience in a legal or professional services environment who understands client-facing work, intake processes, and CRM management. The ideal candidate will take initiative on work that needs to be done and complete tasks with minimal supervision.

  • 2+ years of experience in legal intake, client services, or a similar professional role
  • Experience with CRM platforms (Go High Level experience is a major plus)
  • Excellent phone presence — warm, professional, and able to adapt tone to the caller
  • Strong organizational skills and the ability to manage multiple priorities without dropping anything
  • Comfortable working independently in a remote environment
  • Tech-savvy — you don’t panic when you need to learn a new system
  • Estate planning, probate, or international/cross-border client experience is a plus but not required — what matters is that you can stay calm and professional when a caller’s situation is complicated

Compensation & Benefits:

This is a full-time position (40 hours per week, 8:30 AM – 4:30 PM Eastern) based in Florida. This role starts remote and will transition to our Fort Lauderdale office as we grow. Pay is $24–$30/hour depending on experience. Benefits after 90 days include:

  • 10 days PTO + 5 sick days + federal holidays
