Purpose:The Administrative Assistant is responsible for company administrative procedures and performs administrative tasks accurately and effectively.Duties and Responsibilities:<ul><li>Provide customer service in a professional and friendly manner</li><li>Process invoices in accordance with provisions and requirements of Section 215.422. F.S.</li><li>Process and coordinate contracts: opening, supplementing, amending and closing contracts; encumbering funds; processes contract and miscellaneous invoices using the Right of Way Management System (RWMS) and Contract Funds Management System (CFM)</li><li>Create and maintain data in Right of Way Management Systems (RWMS), Contract Funds Management (CFM) and SharePoint, timely and accurately</li><li>Answer and direct phone calls to appropriate individuals</li><li>Assist with administrative tasks as needed</li><li>Record and file management &ndash; data entry, file and organize physical and electronic file systems</li><li>Provide customer support and handle inquiries or issues</li><li>Proofread documents for grammar, spelling, and formatting errors</li><li>Coordinate, schedule and set meetings in Outlook, as assigned or requested</li><li>Process correspondence and requests for staff and management</li><li>Experience, Skills and Abilities:</li><li>Previous experience in an office environment preferred</li><li>Proficiency in using Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and database applications</li><li>Ability to collect information/data and review for accuracy and completeness</li><li>Strong organizational skills with the ability to multitask and prioritize tasks effectively</li><li>Excellent verbal and written communication skills</li><li>Attention to detail and accuracy in completing tasks</li><li>Independent planning, monitoring, tracking the status of assignments</li><li>Skilled in use of available resources and problem solving</li><li>Ability to establish and maintain effective working relationships with others.</li></ul>Minimum Requirements:<ul><li>Proven administrative experience.</li><li>Competency in MS Office, databases and administrative software.</li><li>Hands-on experience with spreadsheets.</li><li>Data entry and word processing skills.</li></ul>Preferred Requirements:<ul><li>Associate's degree in related field.</li></ul>Job Type: Full-timePay: $24.00 per hourBenefits:<ul><li>401(k)</li><li>401(k) matching</li><li>Dental insurance</li><li>Employee assistance program</li><li>Health insurance</li><li>Life insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>Work Location: In person
