Administrative Assistant

Purpose:

The Administrative Assistant is responsible for company administrative procedures and performs administrative tasks accurately and effectively.

Duties and Responsibilities:

  • Provide customer service in a professional and friendly manner
  • Process invoices in accordance with provisions and requirements of Section 215.422. F.S.
  • Process and coordinate contracts: opening, supplementing, amending and closing contracts; encumbering funds; processes contract and miscellaneous invoices using the Right of Way Management System (RWMS) and Contract Funds Management System (CFM)
  • Create and maintain data in Right of Way Management Systems (RWMS), Contract Funds Management (CFM) and SharePoint, timely and accurately
  • Answer and direct phone calls to appropriate individuals
  • Assist with administrative tasks as needed
  • Record and file management – data entry, file and organize physical and electronic file systems
  • Provide customer support and handle inquiries or issues
  • Proofread documents for grammar, spelling, and formatting errors
  • Coordinate, schedule and set meetings in Outlook, as assigned or requested
  • Process correspondence and requests for staff and management
  • Experience, Skills and Abilities:
  • Previous experience in an office environment preferred
  • Proficiency in using Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and database applications
  • Ability to collect information/data and review for accuracy and completeness
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Excellent verbal and written communication skills
  • Attention to detail and accuracy in completing tasks
  • Independent planning, monitoring, tracking the status of assignments
  • Skilled in use of available resources and problem solving
  • Ability to establish and maintain effective working relationships with others.

Minimum Requirements:

  • Proven administrative experience.
  • Competency in MS Office, databases and administrative software.
  • Hands-on experience with spreadsheets.
  • Data entry and word processing skills.

Preferred Requirements:

  • Associate's degree in related field.

Job Type: Full-time

Pay: $24.00 per hour
