Purpose:
The Administrative Assistant is responsible for company administrative procedures and performs administrative tasks accurately and effectively.
Duties and Responsibilities:
- Provide customer service in a professional and friendly manner
- Process invoices in accordance with provisions and requirements of Section 215.422. F.S.
- Process and coordinate contracts: opening, supplementing, amending and closing contracts; encumbering funds; processes contract and miscellaneous invoices using the Right of Way Management System (RWMS) and Contract Funds Management System (CFM)
- Create and maintain data in Right of Way Management Systems (RWMS), Contract Funds Management (CFM) and SharePoint, timely and accurately
- Answer and direct phone calls to appropriate individuals
- Assist with administrative tasks as needed
- Record and file management – data entry, file and organize physical and electronic file systems
- Provide customer support and handle inquiries or issues
- Proofread documents for grammar, spelling, and formatting errors
- Coordinate, schedule and set meetings in Outlook, as assigned or requested
- Process correspondence and requests for staff and management
- Experience, Skills and Abilities:
- Previous experience in an office environment preferred
- Proficiency in using Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and database applications
- Ability to collect information/data and review for accuracy and completeness
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent verbal and written communication skills
- Attention to detail and accuracy in completing tasks
- Independent planning, monitoring, tracking the status of assignments
- Skilled in use of available resources and problem solving
- Ability to establish and maintain effective working relationships with others.
Minimum Requirements:
- Proven administrative experience.
- Competency in MS Office, databases and administrative software.
- Hands-on experience with spreadsheets.
- Data entry and word processing skills.
Preferred Requirements:
- Associate's degree in related field.
