Overview We are seeking an energetic and detail-oriented Secretary/Receptionist to join our dynamic team. This paid position offers an exciting opportunity to be the welcoming face of our organization while supporting various administrative functions.Responsibilities<ul><li>Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression.</li><li>Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette.</li><li>Handle front desk duties including scheduling appointments, managing incoming and outgoing mail, and maintaining a clean, organized reception area.</li><li>Perform data entry, filing, and document proofreading to support office operations with precision.</li><li>Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for record keeping, scheduling, and bookkeeping tasks.</li><li>Assist with calendar management and coordinate meetings or appointments for staff members or executives.</li><li>Support clerical tasks such as photocopying, faxing, and maintaining organized filing systems to ensure easy access to information.</li></ul>Qualifications<ul><li>Proven office or administrative experience with a strong background in clerical duties and customer support.</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.</li><li>Experience with multi-line phone systems, phone etiquette, and front desk operations.</li><li>Bilingual abilities are highly desirable to effectively communicate with diverse clients and staff.</li><li>Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial records.</li><li>Strong organizational skills with the ability to manage time effectively in a fast-paced environment.</li><li>Excellent proofreading skills and attention to detail in all written communications.</li><li>Personal assistant or medical/dental receptionist experience is beneficial but not required; a willingness to learn is essential.
