We are seeking an energetic and detail-oriented Secretary/Receptionist to join our dynamic team. Responsibilities
- Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression.
- Manage multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette.
- Handle front desk duties including scheduling appointments, managing incoming and outgoing mail, and maintaining a clean, organized reception area.
- Perform data entry, filing, and document proofreading to support office operations with precision.
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for record keeping, scheduling, and bookkeeping tasks.
- Assist with calendar management and coordinate meetings or appointments for staff members or executives.
- Support clerical tasks such as photocopying, faxing, and maintaining organized filing systems to ensure easy access to information.
Qualifications
- Proven office or administrative experience with a strong background in clerical duties and customer support.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
- Experience with multi-line phone systems, phone etiquette, and front desk operations.
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and staff.
- Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial records.
- Strong organizational skills with the ability to manage time effectively in a fast-paced environment.
- Excellent proofreading skills and attention to detail in all written communications.
- Personal assistant or medical/dental receptionist experience is beneficial but not required; a willingness to learn is essential.
