SUMMARY: **** THIS IS AN ENTRY LEVEL POSITION****The Accounts Payable / Accounts Receivable Clerk is responsible for managing the company&rsquo;s billing, payments, and financial recordkeeping. This role ensures accurate processing of invoices, timely payments to vendors, and proper collection of outstanding customer balances.RESPONSIBILITIES: Accounts Payable (AP):<ul><li>Work closely with AP Specialist on processes and procedures</li><li>Monitor multiple high volume emails</li><li>Enter invoices into approval workflow through Adobe</li><li>Posting vendor payments with correct amounts and date for multiple entities</li><li>Entering new vendor set up including obtaining W-9, banking information, and contracts</li><li>Monitor and update vendor aging report (review with supervisor)</li><li>Complete weekly payment run, mail checks, create vendor packets</li><li>Post weekly payment run in operating system including updating vendor files</li><li>Enter approved invoices into operating system with the correct general ledger codes</li><li>Move approved invoices into vendor files</li><li>Assist with reconciliation of vendor statements</li><li>Supports all food safety and quality systems requirements by committing to meet all pertinent regulatory, customer, certifying body, GFSI, and company requirements.</li><li>Able to follow demanding month end close processes</li><li>Other duties as assigned</li></ul>Accounts Receivable (AR):<ul><li>Work closely with AR Specialist on processes and procedures</li><li>Monitor multiple high volume emails</li><li>Generate invoices and email out to customers</li><li>Post incoming deposits and payments to customer accounts</li><li>Monitor credit approvals and release when customer has paid</li><li>Perform price adjustments when asked</li><li>Complete vendor credit applications, tax exempt certificates, and resale certificates</li><li>Investigate and resolve billing discrepancies</li><li>Keep up to date documentation of AR processes</li><li>Keep track of overdue accounts by reaching out to customers for payment status</li><li>Collaboration with customer service if imperative in the role</li><li>Able to follow demanding month end close processes</li></ul>SKILLS AND ABILITIES:Must be dependable and extremely trustworthy.<ul><li>Proficient in Microsoft Excel and other office productivity programs.</li><li>Must be able to learn accounting software systems, experience in Microsoft Dynamics GP helpful but not required.</li><li>Good organizational, attention to detail and time management skills</li><li>Effective communication and problem-solving abilities</li><li>Required to pass all pre-employment screens (including drug, background, and criminal Checks)</li></ul>EDUCATION AND EXPERIENCE:<ul><li>High school diploma required; Business or Associates Degree preferred.</li><li>1+ years of accounts payable experience</li></ul>PHYSICAL DEMANDS:<ul><li>Prolonged periods sitting at a desk and working on a computer.</li><li>Occasionally reach above/below shoulder level, stoop, kneel or crouch.</li><li>Occasionally walk through the office and warehouse including stairs as needed.</li><li>Occasionally lift or carry up to 25 pounds</li></ul>Benefits:<ul><li>401(k)</li><li>401(k) matching</li><li>Dental insurance</li><li>Employee assistance program</li><li>Flexible spending account</li><li>Health insurance</li><li>Health savings account</li><li>Life insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>People with a criminal record are encouraged to applyWork Location: In person
