Job Summary We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! If you thrive in a fast-paced environment and excel at multitasking, this is the perfect opportunity to make a meaningful impact within our organization.Duties<ul><li>Manage day-to-day office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth</li><li>Oversee scheduling and calendar management for staff, meetings, and events to maximize productivity and efficiency</li><li>Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations</li><li>Maintain accurate vendor management records, process payments, and coordinate procurement of office supplies and services</li><li>Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with training &amp; development initiatives</li><li>Administer payroll processing in compliance with company policies and legal requirements</li><li>Assist with budgeting activities by monitoring expenses and preparing financial reports for management review</li><li>Organize filing systems&mdash;both digital and physical&mdash;and ensure confidentiality of sensitive information</li><li>Supervise administrative staff or team members involved in clerical or office management tasks</li><li>Coordinate event planning efforts for company meetings, trainings, or community outreach activities</li></ul>Qualifications<ul><li>Proven experience in office management or administrative roles within a professional setting</li><li>Strong bookkeeping skills with proficiency in QuickBooks or comparable accounting software</li><li>Demonstrated supervising or team management experience with excellent communication skills</li><li>Knowledge of human resources processes including payroll administration and employee onboarding</li><li>Familiarity with medical office management or healthcare environments is a plus but not required</li><li>Exceptional organizational skills with keen attention to detail and ability to prioritize tasks effectively</li><li>Experience managing vendor relationships and negotiating contracts or services</li><li>Proficient in scheduling tools, calendar management, filing systems, and multi-line phone systems</li><li>Excellent phone etiquette combined with strong interpersonal skills for front desk interactions</li><li>Ability to adapt quickly to changing priorities while maintaining professionalism and positive attitude</li></ul>Join us in creating an efficient workplace where your organizational talents can shine!
