Overview Lighthouse Counseling and Assessment LLC, a therapy center in Edmond, is seeking a cheerful and highly organized Administrative Assistant to join our team! The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to managing administrative tasks. You&rsquo;ll be the friendly voice answering calls and setting up new client appointments as well as a key player in maintaining efficient office management. If you are highly organized, enjoy working with and enjoy supporting teams with exceptional customer service, this opportunity is perfect for you!Responsibilities<ul><li>Greet potential clients by phone and manage front desk operations with professionalism and compassion</li><li>Answer phone calls promptly, directing calls accurately and courteously</li><li>Handle data entry, outreach by email or mail, and document proofreading to ensure accuracy and organization</li><li>Manage calendar scheduling, appointment setting, and calendar management for our team members</li><li>Maintain office supplies inventory, coordinate office management tasks, and oversee general administrative duties</li><li>Provide excellent customer support via phone or in person, addressing inquiries efficiently</li><li>Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and willingness to train on our simple electronic health records software</li><li>Perform additional duties as assigned to support overall office efficiency and team success</li></ul>Skills<ul><li>Proven experience in administrative roles with strong organizational skills</li><li>Excellent computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry tools</li><li>Strong phone etiquette skills with experience providing customer service</li><li>Exceptional organizational skills with keen attention to detail for proofreading and organizational tasks</li><li>Ability to prioritize tasks efficiently using time management techniques</li><li>Previous experience as a receptionist or medical/dental receptionist is advantageous</li><li>Personal assistant experience or office experience demonstrating multitasking capabilities is preferred</li><li>Knowledge of clerical procedures such as typing, filing, calendar management, and customer support</li></ul>Join us in creating a positive and energetic workplace where your talents make a real difference in our community!
