This paid position offers an exciting opportunity to develop your administrative expertise while contributing to the success of our organization.&lt;Duties&gt;<ul><li>Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette</li><li>Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately</li><li>Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents</li><li>Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to update records and databases</li><li>Assist with calendar management and scheduling appointments for staff members or executives</li><li>Support bookkeeping activities using QuickBooks or similar accounting tools to track expenses and invoices</li><li>Provide clerical support such as proofreading documents, preparing correspondence, and managing mail distribution</li><li>Handle office management duties including supply inventory, equipment maintenance, and general administrative tasks</li><li>Offer customer support by addressing inquiries promptly and professionally, whether in person or via phone/email</li><li>Support medical or dental receptionist functions if applicable, including patient check-in/out processes and appointment coordination</li></ul>&lt;Skills&gt;<ul><li>Proven experience in office management or administrative roles with strong organizational skills</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications</li><li>Excellent computer literacy with the ability to learn new software quickly</li><li>Strong typing skills with high accuracy for data entry and document preparation</li><li>Familiarity with multi-line phone systems and phone etiquette standards</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively</li><li>Experience with QuickBooks or bookkeeping is a plus for financial recordkeeping tasks</li><li>Exceptional proofreading skills to ensure error-free communication</li><li>Outstanding customer service skills with a friendly, professional demeanor</li><li>Ability to manage time effectively while juggling multiple responsibilities simultaneously</li><li>Previous experience as a receptionist or personal assistant is advantageous</li><li>Knowledge of office procedures such as filing systems, calendar management, and data entry techniques</li></ul>Join us as a Secretary and become an essential part of our vibrant team!
