We are seeking a dynamic and highly organized Secretary to join our professional team. <Duties>

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to update records and databases
  • Assist with calendar management and scheduling appointments for staff members or executives
  • Support bookkeeping activities using QuickBooks or similar accounting tools to track expenses and invoices
  • Provide clerical support such as proofreading documents, preparing correspondence, and managing mail distribution
  • Handle office management duties including supply inventory, equipment maintenance, and general administrative tasks
  • Offer customer support by addressing inquiries promptly and professionally, whether in person or via phone/email
  • Support medical or dental receptionist functions if applicable, including patient check-in/out processes and appointment coordination

<Skills>

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent computer literacy with the ability to learn new software quickly
  • Strong typing skills with high accuracy for data entry and document preparation
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Experience with QuickBooks or bookkeeping is a plus for financial recordkeeping tasks
  • Exceptional proofreading skills to ensure error-free communication
  • Outstanding customer service skills with a friendly, professional demeanor
  • Ability to manage time effectively while juggling multiple responsibilities simultaneously
  • Previous experience as a receptionist or personal assistant is advantageous
  • Knowledge of office procedures such as filing systems, calendar management, and data entry techniques
