 Clerical Support and Assistance

 Communicate to all masters on board and get any vessels' information/form/document as required for port entry, permits, and/or port authority requirements

 Maintain the records and Tracker Report file regularly and in an organized manner

 If required, update records for International Safety Management (ISM), and HSEQ

 <li>
 Assist the Fleet Manager/Port Captain and the Technical Manager/Port Engineer on matters related to operations and maintain the records and files in an organized manner

 Submit online application(s) for the acquisition of business permits as and when required.
 
 
 
 Communication with external business partners
 
 
 
 <ul>
 <li>
 Follow up on Safety equipment servicing and get approval from the supervisor on any financial matter(s)
 </li>
 <li>
 Dealing with port authorities' formalities and permits including but not limited to work permits
 </li>
 <li>
 Ensure to keep and maintain data of food provision-related purchases and deliveries when required arise by the Manager - Purchasing &amp; Inventory
 </li>
 <li>
 Coordinate with client/s, surveyors, and TPS (3rd party surveyors) as required
 </li>
 <li>
 Communicate with service providers to follow up and collect vessel certificates
 
 
 </li>
 </ul>
 Any other tasks or duties as assigned by the supervisor(s).
 
 
 
 Document Controller
 
 
 
 <ul>
 <li>
 Monitor and control all the submittals, drawings, transmittals, as-built drawings and letters, memos, vessel certificates, inspection findings etc.
 </li>
 <li>
 Create a comprehensive filing system both sift &amp; hard forms. Where sorting, storing and retrieving electronic and hard copy documents are well organized
 </li>
 <li>
 Controlling the documentation project/vessel wise and ensure all documentation meets formal requirements and required standards
 
 
 </li>
 </ul>
 Producing document progress reports for line managers.
 
 
 
 Leadership And Other Factors
 
 
 
 <ul>
 <li>
 Facilitates and ensures continuous flow of communications including proper coordination and collaboration among all departments, vessels, and branches
 </li>
 <li>
 Ensure to protect of the interest of the company as well as its clients to prevent any negative financial impact and loss of opportunity that may affect the reputation of both parties
 </li>
 <li>
 Demonstrates leadership role by actively participating in the implementation of cost reduction, process improvement, performance improvement, and other continuous improvement programs
 </li>
 <li>
 Report any non-conformity on vessels to the relevant departments
 
 
 </li>
 </ul>

 Ensure that HSE rules and regulations are being observed within the organization
 </li>

 Demonstrate strict compliance with the organization's policies and procedures

 Propose any suggestions/observations for the improvement of the HSEQ Management System
 </li>

 Comply with all HSE rules and regulations of Marcap, its contractors, and clients

 Comply with all Rules &amp; Regulations of Marcap, code of conduct especially related to gifts, bribery, commissions, and business ethics &amp; discipline

 Perform any other jobs that may be assigned by immediate superior or concerned managers
 
 
 
 Requirements
 
 
 
 
 Knowledge:
 
 High School Diploma, Knowledge of the Maritime industry, Knowledge of Basic Health and Safety, Knowledge of Microsoft Office. Computer literate with the ability to learn new software applications
 
 
 
 Experience:
 
 Minimum of 2-3 Years in the Marine Industry, HSE, Oil &amp; gas industry.

Marine Coordinator

 Main responsibilities:
 
 
 
 
 Document Control
 
 
 
 <ul>
 <li>
 Maintain and manage all operational documents, ensuring accuracy, version control, and easy retrieval
 </li>
 <li>
 Ensure timely distribution of documents and records to relevant stakeholders
 </li>
 <li>
 Maintain confidentiality and integrity of sensitive operational documents
 </li>
 <li>
 Support audits and inspections by preparing and providing necessary documentation
 </li>
 <li>
 Maintain accurate records of compliance activities, audits, and training sessions
 
 
 </li>
 </ul>
 
 Operations Coordination
 
 
 
 <ul>
 <li>
 Assist the Director - Operations in daily planning and coordination activities
 </li>
 <li>
 Distribute tasks among the operations team based on project requirements and team workload
 </li>
 <li>
 Follow up on assigned tasks to ensure timely execution and closure
 </li>
 <li>
 Consolidate updates and progress reports from UAE and KSA teams
 </li>
 <li>
 Prepare and maintain project schedules, tracking milestones and deliverables
 </li>
 <li>
 Coordinate with service providers for LSA/FFA and others when required
 </li>
 <li>
 Prepare several reports for activities/tasks when required
 </li>
 <li>
 Compile different tracker reports as required
 </li>

 Coordinate with port authorities when required

 Interdepartmental Communication

 Act as a liaison between the Operations division and other internal departments (Technical, HR, HSEQ, Admin, Procurement &amp; Inventory, Finance, Saudi Marcap, etc)
 </li>

 Support coordination of cross-functional tasks, meetings, and approvals
 </li>
 <li>
 Ensure smooth flow of information and timely resolution of pending matters
 </li>
 <li>
 Prepare presentations, reports, and correspondence as required by the Director - Operations
 </li>
 <li>
 Provide administrative support in meetings, project tracking tools, and follow-ups
 </li>
 <li>
 Handle any other ad-hoc assignments as delegated by the Director - Operations
 </li>
 <li>
 Perform any other relevant tasks that may be directed/ assigned by the immediate superior
 
 
 </li>

 Requirements

 Bachelor's degree in Maritime Studies or equivalent
 </li>
 <li>
 Min. 3 years of relevant experience in the Marine industry in UAE
 
 
 </li>
