You will be the backbone of our janitorial operations, providing essential clerical support and ensuring excellent service delivery.Responsibilities<ul><li>Manage front desk duties, including greeting visitors and directing inquiries with professionalism and warmth</li><li>Operate multi-line phone systems to handle incoming calls efficiently, providing accurate information or routing calls appropriately</li><li>Maintain organized filing systems, data entry records, and ensure all documentation is accurate and up-to-date</li><li>Schedule and coordinate janitorial services, including calendar management for cleaning crews and supply deliveries</li><li>Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices</li><li>Support office management activities such as ordering supplies, managing inventory, and overseeing office equipment maintenance</li><li>Provide exceptional customer support by addressing client questions promptly and courteously while maintaining excellent phone etiquette</li></ul>Requirements<ul><li>Proven office experience with strong clerical skills including filing, data entry, proofreading, and document management</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for collaboration and communication</li><li>Familiarity with QuickBooks or other bookkeeping software is a plus</li><li>Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment</li><li>Strong communication skills; bilingual abilities are highly desirable to serve diverse client needs</li><li>Previous experience in administrative roles such as dental or medical receptionist or personal assistant is advantageous</li><li>Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously</li><li>Knowledge of office management practices, phone etiquette, and customer service principles</li></ul>Join us to be part of a vibrant team dedicated to maintaining high standards of cleanliness while providing outstanding administrative support.
