Responsibilities

  • Manage front desk duties, including greeting visitors and directing inquiries with professionalism and warmth
  • Operate multi-line phone systems to handle incoming calls efficiently, providing accurate information or routing calls appropriately
  • Maintain organized filing systems, data entry records, and ensure all documentation is accurate and up-to-date
  • Schedule and coordinate janitorial services, including calendar management for cleaning crews and supply deliveries
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
  • Support office management activities such as ordering supplies, managing inventory, and overseeing office equipment maintenance
  • Provide exceptional customer support by addressing client questions promptly and courteously while maintaining excellent phone etiquette

Requirements

  • Proven office experience with strong clerical skills including filing, data entry, proofreading, and document management
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for collaboration and communication
  • Familiarity with QuickBooks or other bookkeeping software is a plus
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Strong communication skills; bilingual abilities are highly desirable to serve diverse client needs
  • Previous experience in administrative roles such as dental or medical receptionist or personal assistant is advantageous
  • Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously
  • Knowledge of office management practices, phone etiquette, and customer service principles

Job Type: Temp-to-hire

Pay: $16.75 - $19.00 per hour

Expected hours: 25 – 40 per week
