Overview We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our office. Join us to contribute to a professional environment where your skills in office management, clerical duties, and customer support will thrive.Responsibilities<ul><li>Greet visitors and clients warmly, providing professional and courteous reception service at all times</li><li>Manage multi-line phone systems, directing calls accurately and taking detailed messages when necessary</li><li>Handle incoming correspondence, emails, and inquiries promptly and efficiently</li><li>Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools</li><li>Perform data entry, proofread documents, and assist with administrative tasks such as calendar management and scheduling appointments</li><li>Support bookkeeping activities using QuickBooks and assist with basic bookkeeping tasks like invoicing and expense tracking</li><li>Coordinate office supplies procurement, manage inventory levels, and ensure the office environment remains tidy and functional</li><li>Provide personal assistant support as needed, including managing calendars, booking travel arrangements, and supporting project deadlines</li></ul>Experience<ul><li>Proven office management or administrative experience in a fast-paced environment</li><li>Strong clerical skills with proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications</li><li>Experience handling multi-line phone systems with excellent phone etiquette and customer service skills</li><li>Bilingual ability is preferred to effectively communicate with diverse clients and team members</li><li>Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively</li><li>Previous experience in customer support or client-facing roles is highly desirable</li><li>Familiarity with QuickBooks for bookkeeping purposes is a plus</li><li>Personal assistant or executive support experience will be considered an asset</li></ul>Join us to be part of a vibrant team dedicated to delivering exceptional service while supporting the daily operations of our organization.
