Secretary/Receptionist

We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our office. Responsibilities

  • Greet visitors and clients warmly, providing professional and courteous reception service at all times
  • Manage multi-line phone systems, directing calls accurately and taking detailed messages when necessary
  • Handle incoming correspondence, emails, and inquiries promptly and efficiently
  • Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools
  • Perform data entry, proofread documents, and assist with administrative tasks such as calendar management and scheduling appointments
  • Support bookkeeping activities using QuickBooks and assist with basic bookkeeping tasks like invoicing and expense tracking
  • Coordinate office supplies procurement, manage inventory levels, and ensure the office environment remains tidy and functional
  • Provide personal assistant support as needed, including managing calendars, booking travel arrangements, and supporting project deadlines

Experience

  • Proven office management or administrative experience in a fast-paced environment
  • Strong clerical skills with proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience handling multi-line phone systems with excellent phone etiquette and customer service skills
  • Bilingual ability is preferred to effectively communicate with diverse clients and team members
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Previous experience in customer support or client-facing roles is highly desirable
  • Familiarity with QuickBooks for bookkeeping purposes is a plus
  • Personal assistant or executive support experience will be considered an asset
