Executive Assistant - In Office - Real Estate / Operations SupportThe Mello Group is seeking a highly organized, proactive, and dependable Executive Assistant to support Jennifer Mello, a top-producing real estate broker, business owner, speaker, and founder. This is an in-office position for someone who brings high energy, positivity, professionalism, and a willingness to help with anything needed to keep a fast-paced business moving forward.The ideal candidate is a true team player who is detail-oriented, trustworthy, loyal, and responsible. This person takes initiative, solves problems, follows through, and does not need to be told every next step. They are resourceful, organized, tech-comfortable, and excited to play an important role in supporting a growing real estate business and brand.Key Responsibilities<ul><li>Manage scheduling, calendars, appointments, and day-to-day coordination</li><li>Assist with CRM entry, management, and follow-up</li><li>Handle data entry and maintain accurate records, contacts, and systems</li><li>Support real estate operations and administrative tasks</li><li>Help keep projects organized and ensure important details do not fall through the cracks</li><li>Communicate professionally with clients, agents, vendors, and other business contacts</li><li>Assist with social media coordination, content organization, and YouTube-related tasks</li><li>Help with marketing and design support using Canva</li><li>Support transaction coordination and document organization using Dotloop</li><li>Work within Follow Up Boss and other systems to maintain workflow and organization</li><li>Use Slack and other communication platforms to stay connected and responsive</li><li>Assist with spreadsheets, reporting, and other organizational tasks using Microsoft Office and Excel</li><li>Create systems and processes that improve efficiency and organization</li><li>Help develop training materials, SOPs, and internal process documentation</li><li>Support the creation and organization of training programs for agents and team members</li><li>Assist with agent onboarding, onboarding systems, and new agent setup</li><li>Use AI tools to help improve efficiency, organization, communication, and content support</li><li>Be flexible, proactive, and willing to jump in wherever needed</li></ul>Qualifications<ul><li>Highly organized and detail-oriented</li><li>Strong initiative and ability to work independently</li><li>Positive, high-energy, and solution-oriented</li><li>Loyal, trustworthy, and responsible</li><li>A true team player with a willingness to help with anything</li><li>Strong problem-solving skills and a self-starter mindset</li><li>Able to create systems and improve processes</li><li>Comfortable helping build SOPs, training tools, repeatable workflows, and onboarding systems</li><li>Tech-savvy and open to learning and using AI tools</li><li>Professional written and verbal communication skills</li><li>Able to manage multiple priorities in a fast-paced office environment</li><li>Committed to strong follow-through and reliability</li></ul>Tools Used Regularly Candidates should be proficient in these tools or willing to learn them quickly:<ul><li>Canva</li><li>Dotloop</li><li>Follow Up Boss</li><li>Social media platforms</li><li>YouTube</li><li>Microsoft Office</li><li>Excel</li><li>Slack</li><li>AI tools</li></ul>This Role Is Ideal For Someone Who<ul><li>Enjoys supporting a high-performing leader and team</li><li>Loves organization, follow-through, and keeping things on track</li><li>Thrives in a fast-paced, in-office environment</li><li>Brings positivity, professionalism, and flexibility to their work</li><li>Enjoys creating better systems, structure, efficiency, and onboarding processes</li><li>Wants to grow with a dynamic real estate business</li></ul>Position Goal The goal of this role is to help Jennifer Mello and The Mello Group operate more efficiently, stay highly organized, improve internal systems, strengthen agent onboarding and training, and continue growing through strong administrative support, initiative, and dependable follow-through.Pay: $45,000.00 - $64,643.60 per yearBenefits:<ul><li>Paid time off</li></ul>Work Location: In person
