Executive Assistant - In Office - Real Estate / Operations Support
The Mello Group is seeking a highly organized, proactive, and dependable Executive Assistant to support Jennifer Mello, a top-producing real estate broker, business owner, speaker, and founder. This is an in-office position for someone who brings high energy, positivity, professionalism, and a willingness to help with anything needed to keep a fast-paced business moving forward.
The ideal candidate is a true team player who is detail-oriented, trustworthy, loyal, and responsible. This person takes initiative, solves problems, follows through, and does not need to be told every next step. They are resourceful, organized, tech-comfortable, and excited to play an important role in supporting a growing real estate business and brand.
Key Responsibilities
- Manage scheduling, calendars, appointments, and day-to-day coordination
- Assist with CRM entry, management, and follow-up
- Handle data entry and maintain accurate records, contacts, and systems
- Support real estate operations and administrative tasks
- Help keep projects organized and ensure important details do not fall through the cracks
- Communicate professionally with clients, agents, vendors, and other business contacts
- Assist with social media coordination, content organization, and YouTube-related tasks
- Help with marketing and design support using Canva
- Support transaction coordination and document organization using Dotloop
- Work within Follow Up Boss and other systems to maintain workflow and organization
- Use Slack and other communication platforms to stay connected and responsive
- Assist with spreadsheets, reporting, and other organizational tasks using Microsoft Office and Excel
- Create systems and processes that improve efficiency and organization
- Help develop training materials, SOPs, and internal process documentation
- Support the creation and organization of training programs for agents and team members
- Assist with agent onboarding, onboarding systems, and new agent setup
- Use AI tools to help improve efficiency, organization, communication, and content support
- Be flexible, proactive, and willing to jump in wherever needed

Position Goal
The goal of this role is to help Jennifer Mello and The Mello Group operate more efficiently, stay highly organized, improve internal systems, strengthen agent onboarding and training, and continue growing through strong administrative support, initiative, and dependable follow-through.
Pay: $45,000.00 - $64,643.60 per year
