<p></p><div><div>This employee is responsible for various clerical and administrative tasks to support the administrative needs of the District Attorney&rsquo;s Office and its professional staff and ensure efficient operation of the office. Specific job duties will vary based on the assignment to the particular division of the District Attorney&rsquo;s Office. Generally, responsibilities include, but are not limited to: answering phones, typing, transcriptions, drafting documents and correspondence, filing court documents, preparing witness subpoenas, maintaining appointment calendars, maintaining internal office records, processing paperwork, collecting files to be handled in court during criminal lists, and other tasks as assigned by the Supervising Secretary, Assistant Chief, Division Chief, or Chief of Staff. Office Support Staff will regularly interact with other employees of the District Attorney&rsquo;s Office, other county agencies and members of the public. They are expected to be cordial and professional at all times.</div><ul><li><br>

<div><h2 class="jobSectionHeader"><b>ESSENTIAL DUTIES AND RESPONSIBILITIES</b></h2></div>
<p></p><div><ul><li>Provide administrative support to ensure efficient operation of the Office.</li><li>
Answer phone calls, answer basic questions, and either direct the calls as appropriate or take messages.</li><li>
Maintain calendar, coordinate and schedule meetings.</li><li>
Perform miscellaneous clerical tasks such as: typing, filing, copying, scanning documents, etc.</li><li>
Prepare and send out subpoenas to victims, witnesses and law enforcement for court proceedings.</li><li>
Record and submit monthly expense reports for attorneys.</li><li>
Transcribe recordings.</li><li>
Draft, format and file legal documents with supervision of legal staff.</li><li>
Assist attorneys with preparing criminal files for court.</li><li>
Assist with records management, storage and destruction.</li><li>
Other tasks as needed to support the administrative needs of the Office and professional staff.</li></ul></div><p></p>

Office Support Person V - Administrative Support Staff - District Attorney

<p></p><div><div>The purpose of the OSP VII position is to perform clerical and other specialized work within the Court Services department. The person in this position will fill in for office personnel when they are otherwise unavailable or in need of additional assistance in order to perform the required duties of the department. This position will also work on special projects as assigned by the Deputy Court Administrator &ndash; Fiscal/Court Services.</div><div></div><div><br>
Reports directly to Deputy Court Administrator &ndash; Fiscal.</div></div><p></p>
<div><h2 class="jobSectionHeader"><b>ESSENTIAL DUTIES AND RESPONSIBILITIES</b></h2></div>
<p></p><div><ul><li>Payroll (ADP): assists with the processing of payroll in a timely manner and in accordance with County policies and procedures.</li><li>
Building Services: submits work orders when building maintenance issues are reported to the Court Services department. Follows up to ensure work is complete and according to needs.</li><li>
Transcript requests: assists with the processing of transcript requests including the receipting of payment and notification to the court reporter.</li><li>
Orders for Payment: processes Orders for Payment for attorneys and expert witnesses utilizing the appropriate vendor number and budget code.</li><li>
Special projects: as assigned by the Deputy Court Administrator &ndash; Fiscal/Court Services works on special projects.</li><li>
Answers phones, directing inquiries to the appropriate party; opens incoming mail, directing it to the appropriate person; files departmental paperwork.</li><li>
Receives and processes requests for interpreters for all court hearings and proceedings including Common Pleas Court hearings, custody conferences, divorce master proceedings, Protective from Abuse Hearings, juvenile court proceedings and Children &amp; Youth hearings.</li><li>
Corresponds effectively with Judges, their staff and attorneys to ensure an up-to-date status of any proceeding involving an interpreter so that the interpreter can be informed if a date, time or location is changed or if there is a change in case status.</li><li>
Communicates with the AOPC when there are not any approved interpreters available for a particular language requested to ascertain what other options exist.</li><li>
Maintains Language Access Data Collection ensuring the entry of encounters are correct and completed in a timely manner.</li><li>
Processes Interpreter invoices in a timely manner and in accordance with Interpreter Regulations and Fee Schedule.</li><li>
Arranges for the translation of Court documents when needed.</li></ul><ul><li>
Any other duties as may be assigned by the District Court Administrator.</li><li>
Non-remote work required.</li></ul></div><p></p>
