DIRECTOR OF OPERATIONS &amp; LOGISTICS About the RoleYou are the engine room of the studio &mdash; the person who turns design intent into real-world execution. While designers create and clients dream, you keep the operations steady, clean, accountable, and always moving forward.This role is hands-on: You track every order, protect every deadline, enforce every system, and make sure materials, vendors, installers, and logistics all move in lockstep. You&rsquo;re the guardian of process, accuracy, communication, and follow-through. Nothing falls through the cracks &mdash; not once, not ever.You ask:&ldquo;What needs to happen next, and who needs to do it?&rdquo;Then you make sure it happens.Reports to: Creative Director Leads: Procurement Support, Receiving/Warehouse, Scheduling/Installers, Vendors, Service &amp; Closeout (Dotted line to Accounting for billing, deposits, and AP/PO documentation.)Key Responsibilities1. Operations Execution &amp; SOP Enforcement<ul><li>Run the daily operations machine: tracking orders, updating systems, closing loops, and ensuring nothing stalls.</li><li>Follow and enforce all company SOPs, checklists, and workflows across design, procurement, construction, delivery, and install.</li><li>Maintain clean G-Tasks, Slack channels, Studio Designer entries, and internal trackers &mdash; always up to date.</li><li>Act as the &ldquo;air traffic controller&rdquo; of all moving parts: who owes what, what&rsquo;s outstanding, what&rsquo;s delayed, and what&rsquo;s at risk.</li><li>Manage receiving, inspections, damages, claims, and replacements in real time.</li></ul>2. Procurement &amp; Order Management<ul><li>Track every PO from estimate &rarr; vendor order &rarr; production &rarr; freight &rarr; delivery &rarr; install.</li><li>Confirm lead times, ship dates, tracking numbers, and delays &mdash; and communicate proactively.</li><li>Keep all vendor invoices, freight charges, and supporting documents updated in Studio Designer.</li><li>Ensure every item is confirmed, logged, paid, inspected, and documented.</li><li>Maintain accuracy: no missing photos, no missing tracking, no missing pricing, no stale data.</li></ul>3. Scheduling, Logistics &amp; Field Coordination<ul><li>Build and maintain the installation schedule with clarity and accuracy.</li><li>Coordinate installers, trades, warehouse teams, delivery crews, and site access.</li><li>Anticipate constraints (permits, long-lead items, missing materials, site readiness) before they become problems.</li><li>Protect the client experience through preparedness: everything needed for installation is onsite, inspected, and correct.</li></ul>4. Vendor &amp; Subcontractor Management<ul><li>Maintain strong relationships with vendors, trades, and delivery partners.</li><li>Hold vendors accountable for OTIF (on-time, in-full) performance.</li><li>Obtain quotes, negotiate pricing where appropriate, and follow up relentlessly.</li><li>Resolve issues quickly: damaged goods, late shipments, incorrect finishes, etc.</li></ul>5. Communication, Reporting &amp; Accountability<ul><li>Communicate proactively with the Creative Director and design team &mdash; not reactively.</li><li>Post daily/weekly updates in Slack on orders, delays, installations, claims, and arrivals.</li><li>Maintain accountability systems: active G-Tasks, updated dashboards, shipping lists, punch lists, and follow-up logs.</li><li>Close loops. Every time. No loose ends.</li></ul>6. Technology &amp; Systems Integrity<ul><li>Keep Studio Designer, Slack, Google Drive, and all operational tools clean and accurate.</li><li>Ensure all proposals, POs, tracking numbers, delivery photos, and claim files are properly documented.</li><li>Maintain naming conventions and folder structures so information is always accessible.</li></ul>7.
