DIRECTOR OF OPERATIONS & LOGISTICS

About the Role

You are the engine room of the studio — the person who turns design intent into real-world execution.
While designers create and clients dream, you keep the operations steady, clean, accountable, and always moving forward.

This role is hands-on:
You track every order, protect every deadline, enforce every system, and make sure materials, vendors, installers, and logistics all move in lockstep. You’re the guardian of process, accuracy, communication, and follow-through. Nothing falls through the cracks — not once, not ever.

You ask:

Then you make sure it happens.

Reports to: Creative Director
Leads: Procurement Support, Receiving/Warehouse, Scheduling/Installers, Vendors, Service & Closeout
(Dotted line to Accounting for billing, deposits, and AP/PO documentation.)

Key Responsibilities1. Operations Execution & SOP Enforcement

  • Run the daily operations machine: tracking orders, updating systems, closing loops, and ensuring nothing stalls.
  • Follow and enforce all company SOPs, checklists, and workflows across design, procurement, construction, delivery, and install.
  • Maintain clean G-Tasks, Slack channels, Studio Designer entries, and internal trackers — always up to date.
  • Act as the “air traffic controller” of all moving parts: who owes what, what’s outstanding, what’s delayed, and what’s at risk.
  • Manage receiving, inspections, damages, claims, and replacements in real time.

2. Procurement & Order Management

  • Track every PO from estimate → vendor order → production → freight → delivery → install.
  • Confirm lead times, ship dates, tracking numbers, and delays — and communicate proactively.
  • Keep all vendor invoices, freight charges, and supporting documents updated in Studio Designer.
  • Ensure every item is confirmed, logged, paid, inspected, and documented.
  • Maintain accuracy: no missing photos, no missing tracking, no missing pricing, no stale data.

3. Scheduling, Logistics & Field Coordination

  • Build and maintain the installation schedule with clarity and accuracy.
  • Coordinate installers, trades, warehouse teams, delivery crews, and site access.
  • Anticipate constraints (permits, long-lead items, missing materials, site readiness) before they become problems.
  • Protect the client experience through preparedness: everything needed for installation is onsite, inspected, and correct.

4. Vendor & Subcontractor Management

  • Maintain strong relationships with vendors, trades, and delivery partners.
  • Hold vendors accountable for OTIF (on-time, in-full) performance.
  • Obtain quotes, negotiate pricing where appropriate, and follow up relentlessly.
  • Resolve issues quickly: damaged goods, late shipments, incorrect finishes, etc.

5. Communication, Reporting & Accountability

  • Communicate proactively with the Creative Director and design team — not reactively.
  • Post daily/weekly updates in Slack on orders, delays, installations, claims, and arrivals.
  • Maintain accountability systems: active G-Tasks, updated dashboards, shipping lists, punch lists, and follow-up logs.
  • Close loops. Every time. No loose ends.

6. Technology & Systems Integrity

  • Keep Studio Designer, Slack, Google Drive, and all operational tools clean and accurate.
  • Ensure all proposals, POs, tracking numbers, delivery photos, and claim files are properly documented.
  • Maintain naming conventions and folder structures so information is always accessible.

7. Client Experience & Quality Control

  • Uphold the luxury standard: organized installs, flawless communication, polished execution.
  • Manage punch lists, warranty items, and service follow-ups with urgency.
  • Ensure the showroom, warehouse, and job sites reflect the brand’s standards.

Qualifications

  • 5–8+ years in operations, logistics, procurement, or project coordination (interiors, luxury residential, design-build, showroom, or millwork preferred).
  • Proven experience managing orders, vendors, schedules, and logistics in a fast-paced environment.
  • Strong mastery of task management systems, cloud-based tools, and digital communication platforms.
  • Excellent communicator — calm, detailed, reliable, and proactive.
  • Detail-obsessed: nothing escapes you.
  • Comfortable holding people accountable and keeping operations tight.
  • Emotionally steady — no drama, no ego, just execution.

  • Order Accuracy: 100% of items ordered correctly; no missing POs or tracking.
  • Documentation: All orders updated weekly in Studio Designer with photos, tracking, freight, and notes.
  • Install Readiness: 98% of installs completed without missing materials or surprises.
  • Communication: Daily/weekly Slack updates; no unanswered or unaddressed messages.
  • Claims & Damages: All claims filed within 48 hours; replacements tracked end-to-end.
  • Task Completion: G-Tasks consistently clear and current — nothing older than seven days.
  • Vendor Performance: Issues escalated immediately; delays communicated; errors resolved fast.
  • Showroom & Warehouse: Organized, photographed, documented, and compliant with standards.

Job Type: Full-time

Pay: $75,000.00 - $85,000.00 per year
