Overview We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team and help streamline daily operations while providing exceptional administrative support to our leadership. This role offers an exciting opportunity to manage a wide range of office functions, coordinate projects, and ensure a productive and welcoming environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to handle diverse responsibilities with enthusiasm and professionalism.Duties<ul><li>Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.</li><li>Manage office operations efficiently by overseeing supply inventory, maintaining filing systems, and ensuring the office environment is organized and professional.</li><li>Assist with event planning for company meetings, team-building activities, and client events, handling logistics from venue booking to materials preparation.</li><li>Perform bookkeeping and data entry tasks using QuickBooks and other software to support financial record-keeping and invoicing processes.</li><li>Handle front desk responsibilities such as greeting visitors, answering multi-line phone systems with professional phone etiquette, and directing calls appropriately.</li><li>Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, transcribing notes, and ensuring timely completion of tasks.</li><li>Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and DocuSign for document signing and management.</li></ul>Requirements<ul><li>Proven experience in an executive assistant or office management role with strong organizational skills.</li><li>Proficiency in Microsoft Office Suite, Google Workspace, QuickBooks, and familiarity with multi-line phone systems.</li><li>Excellent typing speed along with strong proofreading and transcription abilities.</li><li>Demonstrated experience in event planning, project coordination, bookkeeping, and general office administration.</li><li>Exceptional communication skills with professional phone etiquette and customer service orientation.</li><li>Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.</li><li>Experience with data entry, filing systems, clerical tasks, and front desk operations is highly desirable.</li><li>Strong computer literacy including familiarity with Microsoft Outlook Calendar and office productivity tools.
