Overview
We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team and help streamline daily operations while providing exceptional administrative support to our leadership. This role offers an exciting opportunity to manage a wide range of office functions, coordinate projects, and ensure a productive and welcoming environment. Duties
- Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.
- Manage office operations efficiently by overseeing supply inventory, maintaining filing systems, and ensuring the office environment is organized and professional.
- Assist with event planning for company meetings, team-building activities, and client events, handling logistics from venue booking to materials preparation.
- Perform bookkeeping and data entry tasks using QuickBooks and other software to support financial record-keeping and invoicing processes.
- Handle front desk responsibilities such as greeting visitors, answering multi-line phone systems with professional phone etiquette, and directing calls appropriately.
- Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, transcribing notes, and ensuring timely completion of tasks.
- Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and DocuSign for document signing and management.
Requirements
- Proven experience in an executive assistant or office management role with strong organizational skills.
- Proficiency in Microsoft Office Suite, Google Workspace, QuickBooks, and familiarity with multi-line phone systems.
- Excellent typing speed along with strong proofreading and transcription abilities.
- Demonstrated experience in event planning, project coordination, bookkeeping, and general office administration.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Ability to manage multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
- Experience with data entry, filing systems, clerical tasks, and front desk operations is highly desirable.
