Job Overview We are seeking a dynamic and highly organized Personal Assistant with a tax background also, to provide comprehensive administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and enthusiasm. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to contribute to a fast-paced environment that values efficiency and excellence.Duties<ul><li>Manage and maintain complex calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.</li><li>Coordinate various projects and events, including planning logistics, preparing materials, and ensuring deadlines are met.</li><li>Handle all aspects of office management, including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.</li><li>Provide executive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and managing phone etiquette on multi-line phone systems.</li><li>Assist with personal errands and tasks as needed to support the executive&rsquo;s daily routine.</li><li>Oversee front desk responsibilities including greeting visitors, answering inquiries professionally, and managing office supplies.</li><li>Conduct clerical duties such as filing, data entry, proofreading documents for accuracy, and supporting customer service initiatives.</li></ul>Requirements<ul><li>Proven experience as a Personal Assistant or in an administrative role with office management responsibilities.</li><li>Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.</li><li>Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for document signing.</li><li>Experience with project coordination, event planning, bookkeeping (QuickBooks preferred), and data entry.</li><li>Exceptional typing speed and accuracy along with transcription skills.</li><li>Outstanding phone etiquette skills for handling multi-line phone systems professionally.</li><li>Knowledge of office procedures such as filing systems, clerical tasks, and front desk operations.</li><li>Ability to prioritize tasks effectively while maintaining attention to detail.</li><li>Strong communication skills&mdash;both written and verbal&mdash;and a proactive attitude towards problem-solving.
