Our mission is to make strong, sustainable building accessible to homeowners, builders, and developers through precision engineering and hands-on support.We&rsquo;re looking for a dependable, detail-oriented Administrative Assistant to keep our operations running smoothly and support the owner with day-to-day tasks at our Englewood facility.Position SummaryThe Administrative Assistant is responsible for supporting daily business operations including scheduling, documentation, customer communication, and coordination with vendors. This is a full-time, on-site role that requires strong organizational skills, professionalism, and comfort working in a construction/manufacturing environment.Key ResponsibilitiesAdministrative &amp; Office Support&#9679; Answer and route phone calls, emails, and website inquiries professionally.&#9679; Maintain organized physical and digital filing systems (contracts, job folders, invoices, purchase orders, plans).&#9679; Prepare, format, and edit documents using Microsoft Word.&#9679; Create and update spreadsheets in Microsoft Excel for pricing, job tracking, inventory, and schedules.&#9679; Log new project leads and update status reports.Scheduling &amp; Coordination&#9679; Schedule meetings, deliveries, and site visits.&#9679; Maintain the owner&rsquo;s calendar and assist with time-sensitive deadlines.&#9679; Communicate clearly with customers, vendors, and freight carriers regarding project updates and documentation.Operations &amp; Project Support&#9679; Prepare project packets and supporting documents for customers and subcontractors.&#9679; Assist with tracking materials, purchase orders, and shipment confirmations.&#9679; Record and summarize meeting notes and follow-up actions.Recordkeeping &amp; Reporting&#9679; Log time sheets, receipts, and delivery tickets.&#9679; Assist in generating simple invoices and purchase orders.&#9679; Verify accuracy of forms, signatures, and totals.General Support&#9679; Maintain a professional, clean, and organized front office environment.&#9679; Perform other duties as assigned to ensure efficient day-to-day operations.QualificationsRequired&#9679; High school diploma or equivalent.&#9679; Proficiency with Microsoft Word and Excel.&#9679; Excellent attention to detail and accuracy.&#9679; Professional communication and customer service skills.&#9679; Reliable and punctual with a strong work ethic.&#9679; Comfortable working in a hands-on construction/manufacturing setting.&#9679; Must be able to pass a random drug test.Preferred&#9679; 1+ year of experience in an administrative, office, or coordinator role.&#9679; Familiarity with construction, manufacturing, homebuilding, or logistics environments (helpful but not required).&#9679; Basic understanding of invoices, purchase orders, or scheduling systems.Work Environment&#9679; On-site position located in Englewood, Florida.&#9679; Standard hours: Monday&ndash;Friday, 7:30 AM&ndash;4:30 PM.&#9679; Office-based with occasional visits to the shop or yard.&#9679; May involve light lifting (up to 20 lbs) for office supplies or project materials.Why Join New Panel Kits&#9679; Be part of a growing company that&rsquo;s redefining how homes are built in coastal communities.&#9679; Work directly with the owner &mdash; your input matters and your ideas get heard.&#9679; Steady weekday schedule with clear structure and purpose.&#9679; Learn the operations side of the construction and manufacturing industry with room to grow.How to ApplySubmit your resume and a short note (3&ndash;4 sentences) about why you&rsquo;re a great fit for this role to brian@newpanelkits.com.Please include the subject line: &ldquo;Administrative Assistant &ndash; Englewood&rdquo;Job Type: Full-timePay: $16.00 - $18.00 per hourExpected hours: 40 per weekWork Location: In person
