New Panel Kits designs and manufactures structural insulated panel (SIP) building kits used to create hurricane-resilient, energy-efficient homes faster and with less waste than traditional construction. Our mission is to make strong, sustainable building accessible to homeowners, builders, and developers through precision engineering and hands-on support.

We’re looking for a dependable, detail-oriented Administrative Assistant to keep our operations running smoothly and support the owner with day-to-day tasks at our Englewood facility.

Position Summary

The Administrative Assistant is responsible for supporting daily business operations including scheduling, documentation, customer communication, and coordination with vendors. This is a full-time, on-site role that requires strong organizational skills, professionalism, and comfort working in a construction/manufacturing environment.

Key Responsibilities

Administrative & Office Support

● Answer and route phone calls, emails, and website inquiries professionally.

● Maintain organized physical and digital filing systems (contracts, job folders, invoices, purchase orders, plans).

● Prepare, format, and edit documents using Microsoft Word.

● Create and update spreadsheets in Microsoft Excel for pricing, job tracking, inventory, and schedules.

● Log new project leads and update status reports.

Scheduling & Coordination

● Schedule meetings, deliveries, and site visits.

● Maintain the owner’s calendar and assist with time-sensitive deadlines.

● Communicate clearly with customers, vendors, and freight carriers regarding project updates and documentation.

Operations & Project Support

● Prepare project packets and supporting documents for customers and subcontractors.

● Assist with tracking materials, purchase orders, and shipment confirmations.

● Record and summarize meeting notes and follow-up actions.

Recordkeeping & Reporting

● Log time sheets, receipts, and delivery tickets.

● Assist in generating simple invoices and purchase orders.

● Verify accuracy of forms, signatures, and totals.

General Support

● Maintain a professional, clean, and organized front office environment.

● Perform other duties as assigned to ensure efficient day-to-day operations.

Qualifications

Required

● High school diploma or equivalent.

● Proficiency with Microsoft Word and Excel.

● Excellent attention to detail and accuracy.

● Professional communication and customer service skills.

● Reliable and punctual with a strong work ethic.

● Comfortable working in a hands-on construction/manufacturing setting.

● Must be able to pass a random drug test.

Preferred

● 1+ year of experience in an administrative, office, or coordinator role.

● Familiarity with construction, manufacturing, homebuilding, or logistics environments (helpful but not required).

● Basic understanding of invoices, purchase orders, or scheduling systems.

Work Environment

● On-site position located in Englewood, Florida.

● Standard hours: Monday–Friday, 7:30 AM–4:30 PM.

● Office-based with occasional visits to the shop or yard.

● May involve light lifting (up to 20 lbs) for office supplies or project materials.
