This paid position offers an exciting opportunity to develop your skills in office management, customer service, and administrative support while contributing to a vibrant team.Responsibilities<ul><li>Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.</li><li>Handle calendar management and scheduling for multiple departments or executives, ensuring appointments are organized and conflicts are minimized.</li><li>Perform data entry, filing, and document proofreading to maintain accurate records and support administrative workflows.</li><li>Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations.</li><li>Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial recordkeeping.</li><li>Provide customer service support by responding promptly to inquiries via phone or email and assisting clients or visitors as needed.</li><li>Assist with office management tasks such as supply inventory, maintaining cleanliness of common areas, and coordinating maintenance or repairs.</li></ul>Requirements<ul><li>Proven office experience with strong clerical skills including filing, data entry, and document proofreading.</li><li>Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.</li><li>Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and computer literacy is essential.</li><li>Experience handling multi-line phone systems and demonstrating professional phone etiquette is required.</li><li>Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.</li><li>Prior experience as a receptionist (medical or dental), personal assistant, or in office management is preferred.</li><li>Strong customer service orientation with excellent communication skills&mdash;both verbal and written&mdash;are crucial for success in this role.</li><li>Ability to manage time effectively while juggling multiple responsibilities with accuracy and professionalism.
