Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
- Handle calendar management and scheduling for multiple departments or executives, ensuring appointments are organized and conflicts are minimized.
- Perform data entry, filing, and document proofreading to maintain accurate records and support administrative workflows.
- Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations.
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial recordkeeping.
- Provide customer service support by responding promptly to inquiries via phone or email and assisting clients or visitors as needed.
- Assist with office management tasks such as supply inventory, maintaining cleanliness of common areas, and coordinating maintenance or repairs.
Requirements
- Proven office experience with strong clerical skills including filing, data entry, and document proofreading.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and computer literacy is essential.
- Experience handling multi-line phone systems and demonstrating professional phone etiquette is required.
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.
- Prior experience as a receptionist (medical or dental), personal assistant, or in office management is preferred.
- Strong customer service orientation with excellent communication skills—both verbal and written—are crucial for success in this role.
