Service Administrator &ndash; HVAC | No Sweat Mechanical, LLCHenderson, NV | Full-Time | $21&ndash;$27/hr DOEAbout the RoleNo Sweat Mechanical is seeking a highly organized and professional Service Administrator to join our team and play a key role in keeping our service department running smoothly while delivering an exceptional experience to our customers. In this role, you will serve as the hub connecting clients, field technicians, and management, ensuring clear communication, strong coordination, and consistent follow-through each day.We are looking for someone who demonstrates professionalism in every interaction, communicates clearly, and takes pride in supporting both customers and team members at a high level. Your work will directly contribute to our mission of Elevating Life by helping ensure our customers receive reliable service and our team has the structure and support needed to perform at their best.What You'll Do<ul><li>Coordinate and dispatch service technicians to maintenance, repair, and emergency service calls &mdash; matching the right tech to the right job based on skill, availability, and location</li><li>Monitor field activity in real time and adjust schedules as the day demands</li><li>Serve as the first point of contact for customers &mdash; answering calls and emails, gathering job details, and keeping clients informed on technician ETAs and job status</li><li>Track Preventive Maintenance Contracts for renewals and schedule</li><li>Create, manage, and close out work orders in our field service management software, ensuring all notes, labor, and materials are accurately captured</li><li>Prepare and submit invoices, collect and post payments, and maintain weekly accounts receivable reporting</li><li>Coordinate parts ordering, delivery tracking, and installation scheduling</li><li>Support technicians with the information and resources they need to get the job done</li><li>Maintain accurate customer records and service histories</li><li>Generate reports and support the service managers with scheduling efficiency and backlog tracking</li></ul>What We're Looking For<ul><li>2+ years of dispatch experience, preferably in a trades, construction, or service environment</li><li>Strong multitasking skills &mdash; you can handle high call volume and shifting priorities without losing your cool</li><li>Excellent verbal and written communication; you're clear, professional, and responsive</li><li>Experience with scheduling, dispatching, or service coordination software &mdash; Proficiency in Housecall Pro a definite plus</li><li>Proficiency in Microsoft Office required</li><li>Bilingual (English/Spanish) preferred</li><li>Experience with invoicing, billing, or basic accounts receivable</li><li>Familiarity with HVAC terminology is a plus, but we're happy to teach the right person</li><li>Detail-oriented, proactive, and a genuine team player</li></ul>What We Offer<ul><li>$21-$27 per hour, depending on qualifications and experience</li><li>Health, Dental, and Vision Insurance</li><li>PTO and Paid Holidays</li><li>Simple IRA with company matching</li><li>Company cell phone provided</li><li>A stable, team-oriented work environment with a company that's been in business since 2010</li></ul>Pay: $21.00 - $27.00 per hourBenefits:<ul><li>Dental insurance</li><li>Health insurance</li><li>Life insurance</li><li>Paid time off</li><li>Retirement plan</li><li>Vision insurance</li></ul>Experience:<ul><li>Dispatching: 2 years (Required)</li></ul>Language:<ul><li>English and Spanish fluently (Preferred)</li></ul>Work Location: In person
