About the Role
No Sweat Mechanical is seeking a highly organized and professional Service Administrator to join our team and play a key role in keeping our service department running smoothly while delivering an exceptional experience to our customers. In this role, you will serve as the hub connecting clients, field technicians, and management, ensuring clear communication, strong coordination, and consistent follow-through each day.

What You'll Do
- Coordinate and dispatch service technicians to maintenance, repair, and emergency service calls — matching the right tech to the right job based on skill, availability, and location
- Monitor field activity in real time and adjust schedules as the day demands
- Serve as the first point of contact for customers — answering calls and emails, gathering job details, and keeping clients informed on technician ETAs and job status
- Track Preventive Maintenance Contracts for renewals and schedule
- Create, manage, and close out work orders in our field service management software, ensuring all notes, labor, and materials are accurately captured
- Prepare and submit invoices, collect and post payments, and maintain weekly accounts receivable reporting
- Coordinate parts ordering, delivery tracking, and installation scheduling
- Support technicians with the information and resources they need to get the job done
- Maintain accurate customer records and service histories
- Generate reports and support the service managers with scheduling efficiency and backlog tracking
What We're Looking For
- 2+ years of dispatch experience, preferably in a trades, construction, or service environment
- Strong multitasking skills — you can handle high call volume and shifting priorities without losing your cool
- Excellent verbal and written communication; you're clear, professional, and responsive
- Experience with scheduling, dispatching, or service coordination software — Proficiency in Housecall Pro a definite plus
- Proficiency in Microsoft Office required
- Bilingual (English/Spanish) preferred
- Experience with invoicing, billing, or basic accounts receivable
- Familiarity with HVAC terminology is a plus, but we're happy to teach the right person
- Detail-oriented, proactive, and a genuine team player
