Job SummaryWe are seeking a highly organized, proactive Executive &amp; Personal Assistant to serve in this hybrid role as a trusted right hand to the CEO. This role blends executive support, personal assistance, and office operations management to ensure the CEO&rsquo;s professional and personal priorities run seamlessly. The ideal candidate is detail-oriented, anticipates needs before they arise, and thrives in a fast-paced environment where discretion, reliability, and strong communication are essential.In this role, you will manage the CEO&rsquo;s schedule, track key initiatives and follow-ups, and act as an extension of the CEO in meetings to ensure priorities are executed efficiently across the team. You will also coordinate personal logistics&mdash;including healthcare scheduling, travel arrangements, and household vendor management&mdash;while maintaining organization within the CEO&rsquo;s office and supporting day-to-day office operations.This position requires someone who is resourceful, comfortable handling multiple responsibilities simultaneously, and able to work independently while keeping both business and personal matters running smoothly.ResponsibilitiesExecutive Duties:<ul><li>Manage and maintain executive calendars using Microsoft Outlook Calendar, scheduling appointments, meetings, and travel arrangements with precision.</li><li>Act as an extension of the CEO in meetings as a note taker, and keep track of next steps and follow-up</li><li>Keep tasks running smoothly, not allowing things to fall off the radar</li><li>Relay the CEO&rsquo;s vision and agenda to the team for execution</li><li>Keep CEO office tidy and well-stocked</li></ul>Personal Duties:<ul><li>Healthcare management, including making doctor's appointments, filling prescriptions, and arranging transportation to appointments</li><li>Oversee vendors at the CEO&rsquo;s primary residence, primarily the weekly cleaning service</li><li>Ordering of personal items/stock as needed</li><li>Arrange driver as needed</li><li>In-office laundry</li><li>Plan and coordinate bonfires/pool parties (typically every 1-2 months during good weather)</li><li>Support personal errands for executives when necessary while maintaining confidentiality and discretion at all times.</li></ul>Office Management:<ul><li>Keep inventory of all office supplies: maintain clean organization of storage spaces and order supplies as needed</li><li>Manage usage of properties on the company calendar</li><li>Handle maintenance, contracts, and cleaning of company properties based on needs and usage</li><li>Coordinate any handywork or small projects as needed</li></ul>Qualifications<ul><li>Proven experience as an executive personal assistant or in a similar administrative role with a strong background in office management.</li><li>Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment, including the ability to shift quickly between ever-changing priorities</li><li>Exceptional communication skills with professional phone &amp; email etiquette</li><li>Ability to handle sensitive information discreetly while demonstrating high levels of professionalism and attention to detail.</li><li>Ability to work independently with minimal supervision, while taking ownership of tasks and duties</li></ul>Benefits:<ul><li>401(k)</li><li>Dental insurance</li><li>Health insurance</li><li>Health savings account</li><li>Life insurance</li><li>Paid time off</li><li>Professional development assistance</li><li>Vision insurance</li></ul>Work Location: In person
