Executive Personal Assistant

Job Summary

We are seeking a highly organized, proactive Executive & Personal Assistant to serve in this hybrid role as a trusted right hand to the CEO. This role blends executive support, personal assistance, and office operations management to ensure the CEO’s professional and personal priorities run seamlessly. The ideal candidate is detail-oriented, anticipates needs before they arise, and thrives in a fast-paced environment where discretion, reliability, and strong communication are essential.

In this role, you will manage the CEO’s schedule, track key initiatives and follow-ups, and act as an extension of the CEO in meetings to ensure priorities are executed efficiently across the team. You will also coordinate personal logistics—including healthcare scheduling, travel arrangements, and household vendor management—while maintaining organization within the CEO’s office and supporting day-to-day office operations.

This position requires someone who is resourceful, comfortable handling multiple responsibilities simultaneously, and able to work independently while keeping both business and personal matters running smoothly.

Responsibilities

Executive Duties:

  • Manage and maintain executive calendars using Microsoft Outlook Calendar, scheduling appointments, meetings, and travel arrangements with precision.
  • Act as an extension of the CEO in meetings as a note taker, and keep track of next steps and follow-up
  • Keep tasks running smoothly, not allowing things to fall off the radar
  • Relay the CEO’s vision and agenda to the team for execution
  • Keep CEO office tidy and well-stocked

Personal Duties:

  • Healthcare management, including making doctor's appointments, filling prescriptions, and arranging transportation to appointments
  • Oversee vendors at the CEO’s primary residence, primarily the weekly cleaning service
  • Ordering of personal items/stock as needed
  • Arrange driver as needed
  • In-office laundry
  • Plan and coordinate bonfires/pool parties (typically every 1-2 months during good weather)
  • Support personal errands for executives when necessary while maintaining confidentiality and discretion at all times.

Office Management:

  • Keep inventory of all office supplies: maintain clean organization of storage spaces and order supplies as needed
  • Manage usage of properties on the company calendar
  • Handle maintenance, contracts, and cleaning of company properties based on needs and usage
  • Coordinate any handywork or small projects as needed

Qualifications

  • Proven experience as an executive personal assistant or in a similar administrative role with a strong background in office management.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment, including the ability to shift quickly between ever-changing priorities
  • Exceptional communication skills with professional phone & email etiquette
  • Ability to handle sensitive information discreetly while demonstrating high levels of professionalism and attention to detail.
  • Ability to work independently with minimal supervision, while taking ownership of tasks and duties
