One Kalakaua Senior Living is seeking a highly organized, proactive and detail-oriented Administrative &amp; Human Resources Coordinator to support both our Administration and Human Resources Department. This is an excellent opportunity for an individual who enjoys a fast-paced environment, values teamwork and thrives on coordinating projects, supporting employees and helping leadership achieve organizational goals.The ideal candidate is a self-starter with exceptional communication and organizational skills who can effectively balance multiple priorities while maintaining a high level of professionalism and confidentiality.Essential Responsibilities: <ul><li>Coordinate the full-cycle of recruitment process, including posting job advertisements, screening applicants, scheduling interviews, processing new hires and assisting with onboarding.</li><li>Maintain accurate personnel records and organize electronic and paper filing systems.</li><li>Coordinate meetings by scheduling attendees, preparing agendas, assembling materials and arranging meeting logistics.</li><li>Assist with employee benefits administration, invoice processing, employee service requests, and benefits-related documentation.</li><li>Support special projects and interdepartmental initiatives assigned by Executive Leadership and Human Resources.</li><li>Draft, review and distribute professional communications on behalf of Executive Director and Human Resources Manager.</li><li>Manage incoming phone calls, prioritize communications and respond appropriately while maintaining confidentiality.</li><li>Maintain employee communication boards and ensure all required federal, state, and organizational notices remain current.</li><li>Maintain employee information within the Human Resources Information System (HRIS) and payroll system.</li><li>Track employee licenses, certifications, health requirements, TB testing, immunizations, and regulatory compliance deadlines.</li><li>Prepare and distribute monthly compliance reports to department managers.</li><li>Assist with performance evaluation administration, including tracking, collecting, scanning, and maintaining completed evaluations.</li><li>Support employee health documentation and maintain confidential medical records in accordance with company policies.</li><li>Assist Executive Leadership with proofreading, formatting, and finalizing departmental policies and procedures.</li><li>Collaborate with department managers to support resident activities, special events, and operational needs throughout the community.</li><li>Serve as a member of the Emergency Incident Command Team during emergency situations and assist with staff coordination and communications.</li></ul>Qualifications<ul><li>Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.</li><li>Minimum of 2 years of administrative, executive support, or human resources experience.</li><li>Human Resources experience strongly preferred.</li><li>Excellent written and verbal communication skills.</li><li>Strong organizational and time management abilities with exceptional attention to detail.</li><li>Ability to manage multiple priorities while meeting deadlines.</li><li>Demonstrated ability to handle confidential information with professionalism and discretion.</li><li>Proficient in Microsoft Office (Word, Excel, Outlook, and PowerPoint).</li><li>Experience with HRIS and payroll systems is preferred.</li><li>Ability to work independently while contributing positively to a collaborative team environment</li></ul>What We're Looking ForWe are seeking someone who is:<ul><li>Professional, dependable, and service-oriented</li><li>Highly organized with excellent follow-through</li><li>Adaptable in a fast-paced environment</li><li>Comfortable interacting with employees, residents, families, vendors, and leadership</li><li>A strong communicator with a positive attitude and excellent customer service skills</li></ul>BenefitsWe offer a competitive compensation package that includes:<ul><li>Medical, Dental &amp; Vision Insurance</li><li>401(k) Retirement Plan</li><li>Paid Time Off &amp; Paid Holidays</li><li>Life Insurance</li><li>Employee Assistance Program</li><li>Professional Development Opportunities</li><li>A supportive team-oriented work environment dedicated to serving Hawaii's seniors</li></ul>If you're passionate about people, enjoy supporting leadership, and want to make a meaningful impact in a senior living community, we'd love to hear from you!Job Type: Full-timePay: $29.00 - $33.00 per hourBenefits:<ul><li>401(k)</li><li>Dental insurance</li><li>Health insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>Experience:<ul><li>Administration/Clerical: 3 years (Preferred)</li></ul>License/Certification:<ul><li>CPR &amp; First Aid Certification?
