Administrative & Human Resources Coordinator

One Kalakaua Senior Living is seeking a highly organized, proactive and detail-oriented Administrative & Human Resources Coordinator to support both our Administration and Human Resources Department. The ideal candidate is a self-starter with exceptional communication and organizational skills who can effectively balance multiple priorities while maintaining a high level of professionalism and confidentiality.

Essential Responsibilities:

  • Coordinate the full-cycle of recruitment process, including posting job advertisements, screening applicants, scheduling interviews, processing new hires and assisting with onboarding.
  • Maintain accurate personnel records and organize electronic and paper filing systems.
  • Coordinate meetings by scheduling attendees, preparing agendas, assembling materials and arranging meeting logistics.
  • Assist with employee benefits administration, invoice processing, employee service requests, and benefits-related documentation.
  • Support special projects and interdepartmental initiatives assigned by Executive Leadership and Human Resources.
  • Draft, review and distribute professional communications on behalf of Executive Director and Human Resources Manager.
  • Manage incoming phone calls, prioritize communications and respond appropriately while maintaining confidentiality.
  • Maintain employee communication boards and ensure all required federal, state, and organizational notices remain current.
  • Maintain employee information within the Human Resources Information System (HRIS) and payroll system.
  • Track employee licenses, certifications, health requirements, TB testing, immunizations, and regulatory compliance deadlines.
  • Prepare and distribute monthly compliance reports to department managers.
  • Assist with performance evaluation administration, including tracking, collecting, scanning, and maintaining completed evaluations.
  • Support employee health documentation and maintain confidential medical records in accordance with company policies.
  • Assist Executive Leadership with proofreading, formatting, and finalizing departmental policies and procedures.
  • Collaborate with department managers to support resident activities, special events, and operational needs throughout the community.
  • Serve as a member of the Emergency Incident Command Team during emergency situations and assist with staff coordination and communications.

Qualifications

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • Minimum of 2 years of administrative, executive support, or human resources experience.
  • Human Resources experience strongly preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities with exceptional attention to detail.
  • Ability to manage multiple priorities while meeting deadlines.
  • Demonstrated ability to handle confidential information with professionalism and discretion.
  • Proficient in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Experience with HRIS and payroll systems is preferred.
  • Ability to work independently while contributing positively to a collaborative team environment

Job Type: Full-time

Pay: $29.00 - $33.00 per hour
