We are seeking a highly organized, dependable, and customer-focused Administrative Assistant to support our daily office operations and provide exceptional service to our clients.Job SummaryThe Administrative Assistant is responsible for providing administrative and clerical support to ensure the efficient operation of the office. This position requires excellent communication skills, attention to detail, the ability to multitask, and proficiency with computers and office software in a fast-paced environment.Responsibilities<ul><li>Answer and direct incoming phone calls professionally.</li><li>Greet customers, vendors, and drivers while providing excellent customer service.</li><li>Create, update, and maintain repair orders and customer records.</li><li>Prepare estimates, invoices, purchase orders, and work orders.</li><li>Schedule appointments and coordinate vehicle service requests.</li><li>Scan, organize, and electronically file documents and invoices.</li><li>Process accounts payable and accounts receivable transactions.</li><li>Assist with inventory tracking and office supply ordering.</li><li>Maintain accurate records and ensure all documentation is complete.</li><li>Communicate with vendors regarding parts availability and order status.</li><li>Support management with reports, data entry, and special projects.</li><li>Perform other administrative duties as assigned.</li></ul>Qualifications<ul><li>High school diploma or equivalent required.</li><li>Minimum of 2 years of administrative or office experience preferred.</li><li>Strong computer skills, including Microsoft Office (Word, Excel, Outlook).</li><li>Experience with QuickBooks or other shop management software is a plus.</li><li>Excellent verbal and written communication skills.</li><li>Strong organizational skills with exceptional attention to detail.</li><li>Ability to prioritize tasks and work independently.</li><li>Professional appearance and positive attitude.</li><li>Bilingual (English/Spanish) preferred but not required.</li></ul>Benefits<ul><li>Monday through Friday schedule &ndash; No weekends.</li><li>Paid holidays and paid time off.</li><li>Opportunities for growth and advancement.</li><li>Supportive team environment.</li><li>Stable, locally owned company serving commercial and government fleets.</li></ul>Pay$10.00 &ndash; $15.00 per hour, depending on experience.If you are organized, dependable, and enjoy working in a professional office environment, we encourage you to apply and become part of the Pan American Auto team.Pay: $10.00 - $15.00 per hourBenefits:<ul><li>Paid time off</li></ul>Work Location: In person
