About Us

Pan American Auto is a growing fleet maintenance and repair company specializing in servicing commercial fleets, municipalities, school districts, and government agencies. We are seeking a highly organized, dependable, and customer-focused Administrative Assistant to support our daily office operations and provide exceptional service to our clients.

Job Summary

The Administrative Assistant is responsible for providing administrative and clerical support to ensure the efficient operation of the office. This position requires excellent communication skills, attention to detail, the ability to multitask, and proficiency with computers and office software in a fast-paced environment.

Responsibilities

  • Answer and direct incoming phone calls professionally.
  • Greet customers, vendors, and drivers while providing excellent customer service.
  • Create, update, and maintain repair orders and customer records.
  • Prepare estimates, invoices, purchase orders, and work orders.
  • Schedule appointments and coordinate vehicle service requests.
  • Scan, organize, and electronically file documents and invoices.
  • Process accounts payable and accounts receivable transactions.
  • Assist with inventory tracking and office supply ordering.
  • Maintain accurate records and ensure all documentation is complete.
  • Communicate with vendors regarding parts availability and order status.
  • Support management with reports, data entry, and special projects.
  • Perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Minimum of 2 years of administrative or office experience preferred.
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook).
  • Experience with QuickBooks or other shop management software is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize tasks and work independently.
  • Professional appearance and positive attitude.
  • Bilingual (English/Spanish) preferred but not required.

Pay

$10.00 – $15.00 per hour, depending on experience.
