Summary: The ideal candidate should have excellent oral and written communication skills and be able to organize their work using the provided tools &amp; systems. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we&rsquo;d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office. Tasks:<ul><li>Daily email correspondences - write, distribute letters, faxes &amp; forms</li><li>Answer &amp; direct phone calls</li><li>Collecting &amp; sorting mailings from post office, distributing to appropriate office staff</li><li>Receiving tenants payments in our online property management software, applying to the appropriate/ correct income accounts</li><li>Meeting potential renters and guiding them on tours of available units</li><li>Following up on leads for potential renters</li><li>Performing background checks, credit checks and other responsibilities to see if prospective renters are qualified</li><li>Preparing leasing documents for potential renters using property standards and regulations</li><li>Handling the collection of rent payments, security deposits and application fees</li><li>Keeping residents informed of any changes to rental agreements or upcoming property issues</li><li>Building a rapport with current tenants to give them personalized service</li><li>Keeping an eye on community facilities such as mailrooms, fitness centers and laundry rooms</li><li>Reviewing tenants' ledgers &amp; outstanding balances &amp; completing collection efforts - phone calls, written communications, court procedures when necessary.</li><li>Completing legal documents for court filings - must be reliably accurate for legal purposes</li><li>Coordinating rental payment assistance applications on behalf of tenants during hardship</li><li>Provide general support to office staff &amp; company owners</li></ul>Skills:<ul><li>Must be self motivated, reliable &amp; trustworthy to work independently &amp; under minimal supervision</li><li>Excellent time management skills and the ability to prioritize work</li><li>Knowledge of office management systems and procedures</li><li>Must possess excellent written &amp; verbal communication skills</li><li>Strong organizational skills with the ability to multi-task</li><li>Attention to detail and problem-solving skills</li></ul>It is preferred to have office administrative experience with basic bookkeeping knowledge, will train.
