Summary: The ideal candidate should have excellent oral and written communication skills and be able to organize their work using the provided tools & systems. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Tasks:
- Daily email correspondences - write, distribute letters, faxes & forms
- Answer & direct phone calls
- Collecting & sorting mailings from post office, distributing to appropriate office staff
- Receiving tenants payments in our online property management software, applying to the appropriate/ correct income accounts
- Meeting potential renters and guiding them on tours of available units
- Following up on leads for potential renters
- Performing background checks, credit checks and other responsibilities to see if prospective renters are qualified
- Preparing leasing documents for potential renters using property standards and regulations
- Handling the collection of rent payments, security deposits and application fees
- Keeping residents informed of any changes to rental agreements or upcoming property issues
- Building a rapport with current tenants to give them personalized service
- Keeping an eye on community facilities such as mailrooms, fitness centers and laundry rooms
- Reviewing tenants' ledgers & outstanding balances & completing collection efforts - phone calls, written communications, court procedures when necessary.
- Completing legal documents for court filings - must be reliably accurate for legal purposes
- Coordinating rental payment assistance applications on behalf of tenants during hardship
- Provide general support to office staff & company owners
Skills:
- Must be self motivated, reliable & trustworthy to work independently & under minimal supervision
- Excellent time management skills and the ability to prioritize work
- Knowledge of office management systems and procedures
- Must possess excellent written & verbal communication skills
- Strong organizational skills with the ability to multi-task
- Attention to detail and problem-solving skills
It is preferred to have office administrative experience with basic bookkeeping knowledge, will train. Pay is based on experience.
Pay: $15.00 - $17.00 per hour
