This role enhances efficiency, accountability, and alignment with the organization&rsquo;s strategic priorities.Essential Job Responsibilities:Executive Assistant and Reception duties:<ul><li>Provide executive-level administrative and calendar management support to the CEO to ensure effective leadership, accountability, and alignment with organizational priorities.</li><li>Perform administrative functions that support the CEO &rsquo;s governance responsibilities and the efficient operation of the organization.</li><li>Coordinate CEO outreach activities in collaboration with the management team to support organizational relationships and strategic initiatives.</li><li>Plan, coordinate, and document team meetings, retreats, and governance-related activities in accordance with organizational policies.</li><li>Serve as a professional point of contact for internal and external stakeholders, responding to inquiries and directing communications appropriately.</li><li>Maintain accurate records, manage data and electronic filing systems, and prepare reports and correspondence to support transparency and informed decision-making.</li><li>Support organizational events, workshops, and conferences, including materials preparation, logistics coordination, and post-event follow-up.</li><li>Safeguard confidential organizational, board, staff, and participant information in accordance with nonprofit governance standards and applicable regulations.</li><li>Ensure designated accommodations and support is provided to staff with disabilities to enable full participation, consistent with organizational policy and legal requirements.</li></ul>Operational Specialist Duties:<ul><li>Serve as a primary point of contact for general inquiries regarding PEAK activities.</li><li>Support project staff with training marketing, preparation, delivery, and follow-up, including preparation and participant communications.</li><li>Assist with training logistics to ensure designated trainers have required materials, resources, technology, and travel accommodations.</li><li>Prepare and provide project status reports.</li><li>Assist with event and webinar data collection, analysis, compilation, and reporting.</li></ul>Supervisory DutiesNoneOrganizational RelationshipReports directly to the CEO and interfaces with other departments as needed.Education or Formal Training<ul><li>High school graduate or equivalent required</li><li>College degree preferred</li><li>Three to five years related experience, preferred</li></ul>Required Skills and Knowledge<ul><li>Proficiency of computer applications including databases, Microsoft Word, Excel, and PowerPoint</li><li>Proficiency in Salesforce is a plus, or performance management systems</li><li>Strong organizational and time management skills</li><li>Strong customer service skills and principles</li><li>Strong verbal and written communication skills</li><li>Experience with complex office equipment</li><li>Team player</li><li>Detail orientation</li><li>Experience in orchestrating and handling a wide range of administrative support tasks in a timely, efficient manner</li><li>Punctual with strong attendance history.</li></ul>Preferences<ul><li>Bi-lingual (English and Spanish language skills) a plus</li></ul>Job Requirements<ul><li>Position requires availability outside standard business hours, including occasional evenings, weekends, extended conference hours, and overnight in-state trainings.</li><li>Valid Colorado Driver&rsquo;s license, valid auto insurance, reliable transportation, clean MVR.</li><li>Must follow proper safety procedures when performing physical job tasks</li><li>Participate in staff development activities as assigned</li></ul>Decision Making ResponsibilityExercise sound judgment and accountability in daily decision-making, with consideration for people, costs, service quality, and client relationships. Maintain confidentiality and safeguard PEAK Parent Center information in accordance with agency standards.Work EnvironmentThis job operates in a professional office environment.
