Responsibilities: - Provide administrative support to ensure efficient operation of the office - Answer and direct phone calls, take messages, and handle correspondence - Schedule appointments and maintain calendars - Arrange and coordinate meetings, events, and travel arrangements - Prepare and distribute memos, emails, letters, and forms - Assist in the preparation of regularly scheduled reports - Develop and maintain a filing system - Order office supplies and maintain inventory - Bookkeeping tasks such as data entry into computerized systems like QuickBooks - Transcribe notes and audio recordings - Perform general clerical duties including photocopying, scanning, faxing, and mailingRequirements: - Proven work experience as a secretary or administrative assistant - Proficient in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and email systems - Familiarity with office equipment such as printers, copiers, and phone systems- Excellent typing skills with accuracy and attention to detail - Strong organizational skills with the ability to prioritize tasks effectively - Excellent written and verbal communication skills - Customer service-oriented with a friendly and professional demeanor - Ability to handle confidential information with discretion - Proofreading skills to ensure accuracy in documentsNote: This job description is not intended to be all-inclusive.
