As a key member of our administrative team, you will handle essential clerical duties, provide excellent customer support, and ensure seamless office operations on weekends. Your proactive approach and strong organizational skills will help create a welcoming and efficient workplace for colleagues and visitors alike.Responsibilities<ul><li>Greet visitors and manage front desk operations with professionalism and warmth, ensuring a positive first impression.</li><li>Answer multi-line phone systems promptly, directing calls accurately and courteously while maintaining excellent phone etiquette.</li><li>Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software.</li><li>Manage calendar appointments, schedule meetings, and coordinate office events to optimize time management.</li><li>Handle filing, photocopying, proofreading, and other clerical tasks to support daily office functions.</li><li>Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping.</li><li>Assist with office management duties such as supply inventory, organization of files, and maintaining a clean workspace.</li><li>Provide customer service by addressing inquiries efficiently and professionally in person or over the phone.</li><li>Support personal assistant tasks such as calendar management for staff members when needed.</li></ul>Qualifications<ul><li>Proven office experience with strong clerical and administrative skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.</li><li>Excellent organizational skills with the ability to prioritize tasks effectively.</li><li>Strong computer literacy including data entry, typing speed, and file management.</li><li>Exceptional phone etiquette with experience managing multi-line phone systems.</li><li>Previous experience in front desk or office management roles preferred.</li><li>Ability to work independently with minimal supervision during weekend shifts.
