Responsibilities
- Greet visitors and manage front desk operations with professionalism and warmth, ensuring a positive first impression.
- Answer multi-line phone systems promptly, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software.
- Manage calendar appointments, schedule meetings, and coordinate office events to optimize time management.
- Handle filing, photocopying, proofreading, and other clerical tasks to support daily office functions.
- Support bookkeeping activities including invoicing, expense tracking, and basic financial record keeping.
- Assist with office management duties such as supply inventory, organization of files, and maintaining a clean workspace.
- Provide customer service by addressing inquiries efficiently and professionally in person or over the phone.
- Support personal assistant tasks such as calendar management for staff members when needed.
Qualifications
- Proven office experience with strong clerical and administrative skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong computer literacy including data entry, typing speed, and file management.
- Exceptional phone etiquette with experience managing multi-line phone systems.
- Previous experience in front desk or office management roles preferred.
- Ability to work independently with minimal supervision during weekend shifts.
