 Position Overview:
 
 
 We are seeking an experienced Administrative Assistant to support a busy financial advising office. This role requires a highly organized, professional individual who can manage client relations, process payroll, assist with accounting tasks, support marketing efforts, and provide excellent front-desk service to clients. The ideal candidate will have prior administrative experience in a professional office environment which includes a background in payroll, accounting and/or bookkeeping.
 
 
 
 
 
 
 
 
 Key Responsibilities:
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Greet clients, guests, and tenants in a friendly, professional manner
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Answer and direct phone calls, emails, and other communications
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Schedule client meetings and maintain advisor calendars
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Prepare documents, manage office records and assist with general office operations
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Assist with payroll, bookkeeping and accounting entries and tasks
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Work with accounting software, spreadsheets, invoicing, expense tracking, and reporting
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Prepare marketing materials, newsletters, email campaigns and client events
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Ensure the office is organized and professional for client meetings with basic housekeeping tasks
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Support financial advisors with daily operational tasks
 
 
 
 
 
 
 
 
 Required Qualifications:
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;
 
 Previous administrative experience required
 
 (5+ years preferred)
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Experience with
 
 basic accounting/bookkeeping
 
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Proficiency in
 
 Microsoft Office (Word, Excel, Outlook)
 
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Experience with
 
 accounting software
 
 (e.g., QuickBooks or similar)
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Strong organizational and multitasking skills
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Excellent communication and customer service skills
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;High level of professionalism and experience maintaining confidentiality
 
 
 
 
 
 Preferred Qualifications:
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Experience working in a
 
 financial services, accounting, or professional services office
 
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Experience with
 
 marketing tools, CRM systems, or email marketing platforms
 
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Associate&rsquo;s or Bachelor&rsquo;s degree in Business Administration, Accounting, or related field
 
 
 &middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;Experience processing payroll or preparing taxes
