📍 Location: Grand Rapids, MI

🕘 Schedule: Monday–Friday, 9:00 AM–4:00 PM

💼 Position Type: Full-Time, On-Site, $25/Hour. No other benefits offered.



Position Overview:

We are seeking an experienced Administrative Assistant to support a busy financial advising office. This role requires a highly organized, professional individual who can manage client relations, process payroll, assist with accounting tasks, support marketing efforts, and provide excellent front-desk service to clients. The ideal candidate will have prior administrative experience in a professional office environment which includes a background in payroll, accounting and/or bookkeeping.



Key Responsibilities:

·      Greet clients, guests, and tenants in a friendly, professional manner

·      Answer and direct phone calls, emails, and other communications

·      Schedule client meetings and maintain advisor calendars

·      Prepare documents, manage office records and assist with general office operations

·      Assist with payroll, bookkeeping and accounting entries and tasks

·      Work with accounting software, spreadsheets, invoicing, expense tracking, and reporting

·      Prepare marketing materials, newsletters, email campaigns and client events

·      Ensure the office is organized and professional for client meetings with basic housekeeping tasks

·      Support financial advisors with daily operational tasks



Required Qualifications:

·       Previous administrative experience required (5+ years preferred)

·      Experience with basic accounting/bookkeeping

·      Proficiency in Microsoft Office (Word, Excel, Outlook)

·      Experience with accounting software (e.g., QuickBooks or similar)

·      Strong organizational and multitasking skills

·      Excellent communication and customer service skills

·      High level of professionalism and experience maintaining confidentiality


Preferred Qualifications:

·      Experience working in a financial services, accounting, or professional services office

·      Experience with marketing tools, CRM systems, or email marketing platforms

·      Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field

·      Experience processing payroll or preparing taxes
