Job Overview We are seeking an energetic and highly organized Administrative Assistant to join our dynamic team. Your proactive approach and strong organizational skills will help support daily operations, enhance customer service, and contribute to the overall efficiency of our organization.Responsibilities<ul><li>Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately</li><li>Manage multi-line phone systems, screen calls, and handle inquiries with professionalism and courtesy</li><li>Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools</li><li>Coordinate calendar management, scheduling appointments, meetings, and maintaining calendars for staff members</li><li>Assist with bookkeeping tasks using QuickBooks or similar accounting software to support billing and expense tracking</li><li>Provide exceptional customer support through phone etiquette, email correspondence, and in-person interactions</li><li>Support office management duties including supply inventory, filing systems, proofreading documents, and organizing office space</li></ul>Requirements<ul><li>Proven experience in an administrative or clerical role within an office environment</li><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills</li><li>Excellent organizational skills with the ability to multitask effectively in a busy setting</li><li>Experience handling multi-line phone systems and providing superior customer service</li><li>Bilingual abilities are a plus to assist diverse client needs</li><li>Knowledge of office management procedures including filing systems and calendar management</li><li>Familiarity with QuickBooks or bookkeeping software is preferred</li><li>Previous experience as a receptionist&mdash;dental or medical&mdash;will be considered an asset</li><li>Strong phone etiquette, proofreading skills, and attention to detail are essential for success in this role</li><li>Ability to manage time efficiently while supporting multiple priorities</li></ul>Join us as an Administrative Assistant and become a key contributor to our vibrant team!
