Administrative Assistant

Job Overview
We are seeking an energetic and highly organized Administrative Assistant to join our dynamic team. This vital role involves managing a variety of administrative tasks to ensure the smooth operation of our office environment. Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately
  • Manage multi-line phone systems, screen calls, and handle inquiries with professionalism and courtesy
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Coordinate calendar management, scheduling appointments, meetings, and maintaining calendars for staff members
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support billing and expense tracking
  • Provide exceptional customer support through phone etiquette, email correspondence, and in-person interactions
  • Support office management duties including supply inventory, filing systems, proofreading documents, and organizing office space

Requirements

  • Proven experience in an administrative or clerical role within an office environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask effectively in a busy setting
  • Experience handling multi-line phone systems and providing superior customer service
  • Bilingual abilities are a plus to assist diverse client needs
  • Knowledge of office management procedures including filing systems and calendar management
  • Familiarity with QuickBooks or bookkeeping software is preferred
  • Previous experience as a receptionist—dental or medical—will be considered an asset
  • Strong phone etiquette, proofreading skills, and attention to detail are essential for success in this role
  • Ability to manage time efficiently while supporting multiple priorities
