Reception and Office Services Specialist

About us

Responsibilities:

- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information to callers
- Manage incoming and outgoing mail, packages, and deliveries
- Maintain office supplies inventory and place orders as needed
- Assist with basic bookkeeping tasks
- Perform clerical duties such as filing, photocopying, scanning, and faxing
- Assist with proofreading documents for accuracy and completeness
- Reconciles select accounts monthly
- Ensures that all manufacturer accounts including warranty claims, rebates, interest, and co-op advertising accounts are current and accurate.
- Prepares sales tax reports in a timely, accurate manner
- Oversees collection of past due accounts
- Compiles information and prepares reports as requested by management and/or dealer principal
- Processes paperwork for new employees
- Keeps all manufacturer's catalogs and price lists updated
- Tracks customers through system for mailings, marketing, and other correspondence for sales department
- This position may require traveling between branch locations

Requirements:
- Previous experience as a receptionist or administrative assistant preferred
- Proficiency in using Microsoft for email communication, calendar management, and document editing
- Familiarity with phone systems and ability to handle multiple phone lines efficiently
- Strong organizational skills with the ability to prioritize tasks and manage time effectively
- Attention to detail and accuracy in data entry and proofreading tasks
- Excellent verbal and written communication skills
- Ability to work independently as well as part of a team in a fast-paced environment

Job Type: Full-time

Pay: $19.00 - $24.00 per hour

Experience:

  • Microsoft Office: 1 year (Required)
  • Administrative: 1 year (Required)

Ability to Relocate:

  • Ellsworth, ME: Relocate before starting work (Required)
