Position OverviewRooted Pathways Counseling &amp; Consulting is seeking a warm, organized, and dependable Administrative Assistant to support the daily operations of our practice. This role is often the first point of contact for our clients, so we are looking for someone who can create a welcoming, calm, and professional environment while also keeping behind-the-scenes tasks running smoothly.Key ResponsibilitiesClient Experience &amp; Front Desk Support<ul><li>Greet clients in a friendly and professional manner</li><li>Assist with client check-in for appointments</li><li>Maintain a welcoming, safe, and confidential office environment</li><li>Support smooth communication between clients and clinicians</li></ul>Administrative Support<ul><li>Answer phone calls and respond to emails in a timely, professional manner</li><li>Assist with scheduling and general office coordination as needed</li><li>Help maintain accurate client records and documentation systems</li></ul>Billing &amp; Paperwork Assistance<ul><li>Support the Practice Manager and Clinical Supervisor with administrative paperwork</li><li>Help track and organize documentation as needed</li></ul>Office Operations<ul><li>Perform light housekeeping tasks to maintain a clean and comfortable space</li><li>Monitor and track office supply inventory</li><li>Restock supplies and notify leadership when items need to be ordered</li></ul>Team Support<ul><li>Provide general administrative support to the Practice Manager and Clinical Supervisor</li><li>Assist with special projects and day-to-day operational needs</li></ul>Qualifications<ul><li>Strong organizational and time management skills</li><li>Excellent communication and interpersonal skills</li><li>Ability to maintain confidentiality and professionalism at all times</li><li>Comfortable with basic computer systems (email, scheduling platforms, etc.)</li><li>Ability to multitask and adapt in a fast-paced environment</li><li>Previous administrative or front desk experience preferred, but not required</li></ul>Preferred Qualities<ul><li>Warm, welcoming presence with a client-centered mindset</li><li>Detail-oriented and proactive</li><li>Ability to work independently while also supporting a team</li><li>Interest in mental health or healthcare settings is a plus</li></ul>Work EnvironmentRooted Pathways is a culturally rooted counseling practice committed to creating a supportive and inclusive environment for both clients and staff.
