Overview We are seeking a dynamic and detail-oriented Administrative Assistant/Customer Service Representative to join our team. This role offers an exciting opportunity to support daily office operations while delivering exceptional customer service. You will play a vital role in maintaining efficient office management, handling administrative tasks, and providing outstanding support to ensure smooth business operations.Duties<ul><li>Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism</li><li>Operate multi-line phone systems to handle incoming calls efficiently and courteously</li><li>Provide exemplary customer support by addressing inquiries, resolving issues, and maintaining positive client relationships</li><li>Perform data entry, invoicing and payment processing, tasks using Bookeo booking system to ensure accurate financial records</li><li>Organize and maintain filing systems, both physical and digital, for easy retrieval of documents</li><li>Assist with calendar management, scheduling appointments, meetings, and coordinating personal or business-related events</li><li>Support office management activities including supply ordering, mail handling, and general administrative support</li><li>Proofread correspondence, reports, and documents to ensure clarity and accuracy using Microsoft Office tools</li></ul>Qualifications<ul><li>Proven experience in office administration or clerical roles with a strong background in customer service</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) applications</li><li>Familiarity with basic accounting tasks</li><li>Excellent organizational skills with the ability to prioritize multiple tasks effectively</li><li>Strong typing skills and computer literacy to handle data entry and document proofreading accurately</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively</li><li>Demonstrated experience managing multi-line phone systems and front desk operations</li><li>Exceptional time management skills with the ability to adapt quickly in a fast-paced environment</li><li>Personal assistant or office management experience is a plus but not required</li></ul>Join us to be part of a vibrant team dedicated to providing top-tier administrative support while fostering a welcoming environment for clients and colleagues.
